New Rannoch Day Opportunities, Perth

New Rannoch is a lively Day Opportunities Service for Older People, operating Monday to Friday. Clients are assessed and can attend on multiple days depending on their identified outcomes.

The Clerical Assistant Post at New Rannoch is the first point of contact for anyone visiting the building or phoning in to the centre. It is a busy and dynamic multi skilled team and the Clerical Assistant provides the administration to ensure a smooth-running Unit.

Duties include reception, financial tasks such as cash handling and reconciliation. The post also involves placing orders through the electronic system and then processing invoices and keeping the financial database up to date.

The successful postholder will be responsible for maintaining information through spreadsheets and databases. The clerical assistant provides support to the management team and staff team by undertaking clerical duties such as minute taking, diary management and ensuring records such as training, and a variety of essential client information is up to date.

There are returns to be completed weekly and information to be supplied to Management as requested. The postholder will also be responsible for sending out information electronically and manually to staff, clients and carers as required.

Requirements

The successful candidate must have a friendly disposition and enjoy meeting people as they are the first point of contact for anyone visiting.

You should have a polite and professional telephone manner and good customer service skills. A good first impression is essential to our high standards.

You will have a patient and understanding manner as you will be in contact with vulnerable clients and their carers and family members. You will also be expected to liaise with other professionals and services where required.

You should be a good communicator – both written and verbal and highly organised and able to prioritise your workload on a daily, weekly and monthly basis.

You should be flexible in your approach and have excellent problem solving skills.

You should work effectively as part of a team, however, also be able to work on your own initiative.

The post requires good IT skills –and you will be expected to support team members who are less confident and skilled in this area.
