Strategic Operation Support Administrator

The Role:
The Administrator will collaborate with the Operations Support Manager to provide comprehensive support for the Drinks Dispense team and wider On-Trade structure. You will be a key coordinator of the experience for On-Trade customers who contact us for assistance with their draft beer dispense, including via liaising and decision making with our Inbound Call Centre and having a hands-on role communicating directly with customers via E-Mail as one administrator of a joint inbox. The management of this inbox will also involve processing invoices totaling up to £5m annually for our service partners, dealing with customer complaints, managing external portals and maintaining fast and constant contact with internal stakeholders on all issues related to Drinks Dispense. Ultimately you will be making sure that time spent waiting on information and resources, for all internal and external stake holders, is kept to a minimum, and doing so with an acute sense of priority. The ideal candidate will be able to use the breadth of experiences and contacts gained in this role as a launch pad for a great career in this exciting company.
Duties and Responsibilities:
Support day-to-day management of On-Trade draught beer installations and reactive calls.
Act as a liaison between internal teams (sales, operations, field) and external stakeholders like Stonegate, Punch and JD Wetherspoons, to resolve customer queries and service issues.
Covering the central Drinks Dispense inbox - a key communication channel for the department to ensure any communication and information is passed onto the relevant people as fast as possible.
Manage financial processes in SAP, including Purchase Orders, Order Confirmations, and Invoice Payments.
Complete routine and ad-hoc Excel tasks, such as tracker maintenance and one-off data processing tasks.
Support our sales team by monitoring and maintaining external work portals to maximise our bar share across the UK On-Trade.
Coordinate tasks with our field technicians to ensure high efficiency and adherence to SLAs.
Support our call center partner with training, updates and escalations.
Build and send the monthly Drinks Dispense Newsletter to the whole On Trade team.
Identify areas for improvement and drive the corresponding change to enhance customer satisfaction and operational excellence.
Support internal and external events and project management as needed.
What we’re looking for:
A-Level education or equivalent.
Experience processing data in Microsoft Excel.
Strong planning, coordination, and organisational skills.
Proven administrative experience, ideally in a customer-facing or operational role.
Excellent written and verbal communication skills.
A problem-solver with a proactive attitude and attention to detail, not afraid to look to improve on existing processes.
Desirable Characteristics:
Knowledge of the drinks dispense sector is a plus.
Experience with SAP financial systems is beneficial.
Experience with PowerBI is beneficial.
Composed under pressure, with a professional and strategic mindset.
Strong interest in professional and personal growth and development.
Highly accurate and deadline-driven, with the ability to work independently.
