Summary
Main Duties and Responsibilities To work as part of a clinical clerical team to support a defined team of clinicians. To work as an effective member of the Childrens Hearing Clinic team by booking and coordinating the appointments in the clinic using the dedicated Audiology Patient Management System (Audit base). The CHC receptionist/coordinator will Support the department reception desk, update/maintain the Patient Management System (PMS) and prepare medical records for clinics providing the administrative support throughout the patients journey when attending their appointments. Handling calls from families and professions and escalating messages to the appropriate clinicians in a timely way and organising hearing aids repairs and appointments accordingly. The role requires the receptionist/coordinator to communicate effectively with our service users and their families. To provide a reception service to patients, families and staff. To work as part of the team by meeting and greeting patients when they arrive in the department, settling children within the Play area as they enter the clinic environment. To check patient details at every visit to ensure hospital systems are kept up to date and addressographs on the patients notes are also up to date. To book families in for their CHC appointment and notify the clinician seeing the child of their arrival and ensuring their attendance status is correct on Audit base. To book patients appointments using the Audiology PMS and send out the appropriate patients correspondence using the letters available on the PMS. Monitor clinics and audit base waiting lists and escalate capacity concerns and potential breaches to the Head of Service. To ensure hospital notes are ordered, tracked and prepared with all relevant paperwork and information ready for a patients appointment. To help manage stock for the department using the trust ordering system. This will include tracking delivers and liaison with supplies/stores to ensure the timely delivery of items. The ordering and posting of ear moulds to manufacturers, tracking receipt and following the instructions relating to the ear moulds regarding distribution/collection. Receive and sort daily post and distribute accordingly. Update Audit base journal with decisions made at the weekly Clinical Meeting and book and notify the patients and their families of any further appointments required as a result to the discussions. To liaise effectively with parents, team members and other health care professionals Be aware of child protection issues and adhere to local procedures. Monitor generic email account and action/escalate the emails received Assist in requesting copies of notes, investigations and results from internally and from other healthcare organisations; Liaise with other hospital departments, GPs and other health care agencies when required.Provide cross-cover within team during absence and implement relevant organisational policy on attendance management, staff appraisal, etc
