Summary
Job title: Pre-Construction & Commercial Assistant
Location: Hestia SW - HMS Drake - Plymouth
Role: Full Time
Mitie are currently recruiting for a proactive and organised Pre-Construction & Commercial Assistant to join their MOD Projects and Facilities Management team to support the delivery of small works, projects and billable works across the secure estate.
Main duties
MOD Project Works
-Prepare and issue tender enquiries for project works
-Assess tender returns for completeness, accuracy and compliance
-Prepare tender recommendation reports for client approval
-Collate and submit project approval documentation in line with company governance processes
-Assist in preparing subcontract order documents under direction from the Commercial team
-Maintain accurate records of approval status, contract documentation and order progression
-Prepare monthly applications for submission to Senior Commercial Manager to review and submit
FM Billable Works
-Log and track all billable works on the CAFM system (once integrated), ensuring data is current and complete
-Provide rough order costs (ROCs) for minor works requests and variations
-Demonstrate value for money on small works by completing and submitting VFM comparison documentation
-Monitor and report on the status of open and completed billable works
-Support the preparation and submission of applications for payment
-Respond to routine queries regarding billable works, approvals or system updates
Document Control & Systems
-Maintain accurate records of tenders, approvals, orders and progress reports
-Ensure documentation complies with internal protocols and MOD contract requirements
-Upload and manage data and documents within relevant portals and system
Person Specification
-Experience in a similar role within FM, construction or MOD project environments desirable
-Strong organisational and time management skills
-Confident communicator with a proactive, problem-solving mindset
-Familiar with tendering processes, approval documentation and commercial tracking
-Comfortable using CAFM systems (e.g. Maximo, Concept) and MS Office applications
-Commercial Awareness
-Knowledge of MOD contractual procedures or secure site protocols is desirable
-Able to embrace and adapt to change and learn from experience.
