Administrator | York | Part Time | £22,000 – £28,000 per annum (FTE)

Our client is an established Financial Advisory firm based in York, committed to delivering high-quality, client-focused financial planning services.

They are seeking an organised Administrator to join their team at a financial services firm. This is a part-time position with flexible and negotiable working days and hours. The ideal candidate will play a critical role in supporting the day-to-day operations of the firm, ensuring the smooth functioning of administrative processes, and providing essential support to financial advisors and clients.

The Administrator will be responsible for maintaining client records, coordinating schedules and meetings, preparing valuations and documentation, and assisting with compliance and regulatory requirements. This role requires excellent communication skills and discretion in a professional environment.

Are you the right person for the job?

• Proven experience in an administrative role, preferably within a financial or professional services environment
• Strong organisational and time-management skills
• Proficiency in Microsoft Office Suite, Google Calendar, Virtual Cabinet and familiarity with phone systems
• Excellent written and verbal communication skills
• High level of integrity and ability to handle confidential information

What will your role look like?

• Oversee daily administrative functions and ensure efficient office operations, e.g., filing of daily post, scanning and photocopying, and preparing new client business packs
• Maintain and update confidential client and company records, e.g., client database, new business register, letters of authority, request policy information
• Schedule appointments, meetings, and manage calendars for team members via internal Google Calendar
• Prepare valuations and correspondence as needed
• Prepare seasonal newsletters for clients
• Support compliance with financial regulations and company policies, e.g., Key performance indicators
• Liaise with clients, vendors, internal and external departments to ensure effective communication
• Assist in planning and coordinating internal and external events
• Monitor office supplies
• Report to the financial services director
