Summary

We are looking to recruit a responsible Administration Assistant to perform a variety of administrative and clerical tasks. Duties will include providing support to the Grand Secretary General, Office Manager and members of this worldwide private members organisation, assisting in daily office needs and managing our organisation’s general administrative activities.

Key tasks will include but will not be limited to:

• Providing administration assistance - answering the telephone, filing, data input. Ensuring secure storage and maintenance of data.

• Updating records through the appropriate client systems.

• Submit and reconcile expense reports and some cash handling.

• Post and reprographics.

• Write and distribute email, correspondence memos, letters, and forms.

• Maintain contact lists.

• Order office supplies and research new deals and suppliers.

• Required to handle confidential information and follow correct administrative protocols and procedures.

• As part of a multifunctional team, the post holder will be required to carry out other tasks/relief cover as specified by the Office Manager. This may include manual handling and hospitality duties.


Essential Knowledge, Experience and Skills:

• Minimum of 2 National 5 or equivalent qualifications including English and Mathematics or relevant experience gained in a similar role/environment.

• Experience of carrying out office administrative duties.

• Competent and experienced in the use of MS Office packages, specifically Microsoft Word, Excel and Outlook.

• Competent and experienced in use of Database packages (Filemaker Pro Advanced
preferably)
• Good keyboard skills.

• Experience of understanding and following policy and procedures.

• Excellent interpersonal skills with the ability to work on your own and as part of a team.

• Well-developed written and oral communication skills.

• Ability to record confidential information accurately and have excellent attention to detail.

• Strong organizational skills with the ability to multi-task.

• Provide general support to visitors.

• Liaise with members of Supreme Council and handle requests and queries from worldwide membership.

• Excellent telephone manner, being polite and professional with customers, members and colleagues.
