About the Role
An opportunity has arisen for a well-organised and resilient individual to join the Children and Family Services as a Business Support Assistant.
This role is part of the wider Business Support Service and as such an important part of this role is to provide back-up to colleagues across other areas and to assist in handling urgent work on a day-to-day basis.

Main duties and responsibilities:
- To deal with incoming and outgoing telephone calls and liaise with teams, other officers of the authority, partner agencies, clients, Commissioning staff, providers etc. and to facilitate the greeting of visitors, all necessary to the efficient functioning of the Service.
- To process referrals from internal/external agencies that are linked to current administration processes of data inputting within the service areas.
- To work as part of a team in the provision of administrative work within the support service area. To undertake general office duties e.g. file management (paper and electronic) photocopying, maintenance of office equipment, collating and disseminating identified materials.
- To monitor generic inboxes to ensure that are any tasks requested are completed as appropriate and within timescales.
- To type up minutes from recorded confidential meetings within Statutory Timescales together with typing up reports. To distribute and upload the records to the in-house database. To type and distribute letters via secure email, as per instructions.
- To process (open, stamp, distribute) incoming/outgoing post to ensure secure despatch of correspondence and that appropriate action is undertaken to record, track, progress and prioritise.
- Under instruction, to accurately enter data onto a range of computer-based systems to support the requirements of the service. To upload information to our in-house database in an accurate and timely manner.

About You

- Have recognised Academic Qualifications e.g. 'GCSE', 'A' Levels, Vocational Quals, Professional/Further Education Quals in relevant area. NVQ 2 in Business Administration or equivalent. Or an equivalent level of relevant experience.
- Have good computer skills, including MS Word, Excel, with the ability to use spreadsheets.
- Be able to give evidence of establishing and maintaining manual and electronic admin systems.
- Be able to evidence a good level of verbal and written communication skills.
- Be able to have a full understanding of the need to maintain confidentiality
- Be able to produce accurate work to deadlines.
- Be able to work effectively as a member of a team.
