Job Summary

The Office Assistant / Over labelling Team Member is a dual-role position designed to support our office operations and production processes. You will manage essential administrative tasks while also being responsible for the accurate and timely application of labels onto our clients packaging. This comprehensive role is ideal for a detail-oriented, organised, and proactive individual who thrives in a fast-paced environment and values working collaboratively with both office and production teams. It is also ideal for someone who likes variation in their job role.
Over labelling is the process where a label is applied over an existing label to cover up or add additional information.


Key Responsibilities

Administrative Support:

General Office Duties:

Handle day-to-day tasks such as answering phone calls, managing emails, using Sage, chasing payments, carrying out month end procedures for the FD.

Perform data entry and maintain accurate records of production orders, labelling processes, and inventory levels.

Assist with filing, document management, and other essential administrative functions.

Coordination & Communication:

Liaise with production, quality control, customers and logistics teams to ensure smooth operations.

Submit customer quotes

Schedule shipments and track order progress to meet production deadlines.

Coordinate with suppliers regarding label materials and other essential components.



Over labelling Operations:

Label Application:

Manage the application of labels on products to ensure adherence to exact placement, size, and SKU specifications.

Verify that label placement and data strings meet Sessions UK’s quality and compliance standards.

Material & Inventory Management:

Prepare and organize label materials ahead of production runs.

Monitor stock levels of label supplies and coordinate orders to prevent production delays.

Quality Control:

Perform regular quality checks on labelled products.

Identify and address any discrepancies or defects promptly.

Process & Team Support:

Collaborate with cross-functional teams to streamline both administrative and production workflows.

Provide feedback and suggestions for process improvements to reduce lead times and enhance operational efficiency.

Support other team members during peak periods, ensuring consistency in quality and delivery.

Experience:

Proven experience in an administrative or office assistant role; previous exposure to labelling or production environments is an advantage.

Technical Skills:

Proficiency in Microsoft Office Suite and comfortable using standard digital tools or production tracking systems.

Personal Attributes:

Strong attention to detail and excellent organisational skills.

Ability to multitask and meet deadlines in a dynamic work environment.

Good interpersonal and communication skills, both written and verbal.

Additional Requirements:

A proactive and adaptable approach, with the ability to work independently as well as part of a team.

Basic understanding of or willingness to learn labelling and over labelling processes.

Flexibility to handle a mix of desk-based and production floor responsibilities.
