Sales Administrator
The Sales Administrator supports the supervisor who oversees the operations and coordinates the activities of sales and related workers in this business.
Purpose of Job:
To support the planning, and help co-ordinate the orders coming into the business, to maximise our business performance and achieve our financial goals.
To liaise with, and maintain a valuable relationship with senior decision makers, providers, and clients.
To have a strong understanding of wholesale business management, financial, and leadership principles.
To demonstrate knowledge of techniques appropriate and relevant to delivering improvement, cost savings, and value within the wholesale business.
Responsibilities & Duties:
Key Responsibilities:
• Order Processing: Taking and processing wholesale customer orders, managing paperwork, and ensuring timely execution.
• Customer Service: Answering customer inquiries, resolving complaints, and providing after-sales support through various channels.
• Record Keeping: Maintaining accurate customer records, updating databases, and generating sales reports.
• Invoicing and Payments: Preparing sales invoices, managing payments, and ensuring timely billing.
• Wholesale Inventory Management: Monitoring stock levels, re-ordering supplies, and coordinating deliveries.
• Wholesale Administrative Support: Providing general clerical support, including filing, retrieving documents, and handling mail.
• Wholesales Process Optimization: Identifying areas for improvement in sales processes and systems.
• Communication: Communicating effectively with customers, the sales team, and other departments.
• Reporting: Generating sales reports and analysing sales performance data.
• Project Management: Supporting wholesales projects and coordinating related activities.
Duties:
• Working with the sales team – taking in the wholesale orders coming into the business.
• Overseeing orders and invoicing – working with our wholesale business clients – ensuring deliveries are to a high standard - correct garments, quantities, and prices.
• Managing responses to email telephone queries.
• Working with the customer accounts department to ensure orders and invoices are correct which could include payment reconciliation, credit terms and debt monitoring
• Supervising and co-ordinating the warehouse team to ensure correct garments and quantities are packed for each client.
• Monitoring delivery schedules to ensure we meet business targets.
• Liaises with managers and other departments to resolve delivery problems
• Ensuring labelling and delivery notes are correct before dispatch
• As part of the invoicing process, monitoring and reporting any overdue payments.
• Regularly reporting to the management team on any issues such a late deliveries, late payments or any general performance issues.
Person Specification and Essential criteria
• Academic qualifications relevant to the role are required together with relevant work experience in this line of business
• A good standard of computer literacy including the use of Microsoft Word, Google and Microsoft Excel.
• Excellent communication skills.
• Highly organised, with an ability to work to deadlines, and to plan and prioritise short and long-term tasks effectively.
• A good sense of humour and a proactive, positive attitude.
• The ability to work independently and as part of a larger team.
• An organised and reliable approach to work.
Desirable Criteria
• Previous experience of managing industry wholesale customers’ orders and invoicing.
• Sound knowledge of invoicing and accounting procedures
