Job Title: Technical Services Admin Assistant

Ref: TWFRS 5270518

Pay rate: £12.85 per hour PAYE



The role:

Under the guidance of the Technical Services Administrator, you will undertake the support and delivery of duties which contribute to the provision of an excellent service, whilst ensuring the effective use of resources and you will support department managers in the delivery of exceptional services to the community and key stakeholders.



Key responsibilities:

Carry out a range of clerical tasks, including managing paper and electronic systems, photocopying, printing, laminating, binding, compiling packs, and handling distribution
Cover reception and switchboard as needed, handling calls and visitors professionally
Manage the TSC post system: log incoming mail, collect and sort outgoing post for distribution
Use asset/fleet management and IT systems to manage data, generate reports, and check quality
Maintain and update records, files, and noticeboards relevant to the function
Assist with room bookings, set-up, and routine checks
Process insurance claims, penalty notices, road tax, and other related forms
Take meeting notes, produce minutes, and follow up on actions
Monitor and manage stationery and stock for the department
Use the Financial Management System (SAP) for procurement, stock control, and budget admin
Help manage petty cash and any other cash systems, including payphones



What the client is looking for:

Excellent literacy and numeracy skills
Strong administration and clerical skills
Reception and switchboard experience
Experience of taking and preparing minutes at meetings
Proficient IT skills including Microsoft Office Suite, bespoke IT systems and relevant management information systems
Excellent interpersonal and communication skills
Ability to work to a flexible working scheme, which may include some weekends or evenings
