Summary
Delight is a leading arts education charity that uses the joy of the arts to create magic in learning, levelling the playing field for children from disadvantaged backgrounds. Delight is looking for an experienced Office Manager to be the main point of contact for our energetic team and play a central role in the smooth and effective running of our office operations. You will be organised, enthusiastic and experienced in managing a busy office ensuring that our work environment is safe, welcoming, efficiently run and well resourced. This is a hands-on role for a highly organised and proactive individual who thrives on variety and delivering excellent service and support to a friendly and enthusiastic team.
Key Responsibilities:
Office Administration
• Initial point of contact for incoming calls and visitors
• Monitor the Delight “info@” email inbox and reply to enquiries
• Maintain office equipment and stationery requirements
• Book team travel and accommodation
• Manage petty cash
• Support team members with administrative tasks as necessary
• Lead on stakeholder engagement administration through Christmas cards, thank you cards, impact report mailout
IT Administration
• Set up IT for new employees as part of on-boarding process
• Monitor and troubleshoot for the team across various platforms, including Dropbox, Gmail, Microsoft
• Purchase, set up and monitor computer software and hardware
HR Administration
• Support admin/IT induction of new staff and volunteers
• Maintain staff HR records, including annual leave, TOIL, staff lateness and Statutory Sick Pay records
• Purchase and record staff training
• Complete checks for new starters and updates for existing staff, including Right to Work, HMRC New Starter Forms, DBS checks
• Assist with policy and procedures updates
• Responsible for Health and Safety as Delight’s
Health and Safety Officer
• Responsible for Fire Safety as Delight’s Fire Warden
Buildings Management
• Manage building-related administration, including (but not limited to) landlords, electricity, insurance, recycling collections
• Manage contractor required maintenance of building
• Responsible for daily maintenance of building
Supplier Management
• Manage contracts for services
• Liaise with suppliers/consultants
