To coordinate and support administrative staff within the service. To communicate professionally and effectively with internal and external contacts using a variety of methods. Collect, collate, input and extract data into/from NHS systems as directed by Team Leaders/Assistant Director (National Care Records Service /Clinical Systems, Electronic Staffing Records, Team activity, referral/discharge stats). Maintain and support development of administrative systems set up in the team office to ensure an organised and efficient working environment for staff. Assist Team Leaders with the management of administration relating to annual leave and sickness absence within the team. Responsible for assisting with the booking of team training and responsible for maintaining local training records. Word processing, which may include letters, minutes, memos, notes, email communication and presentations. Work as part of a team, relating to and interacting effectively with colleagues. To collect and distribute the post within the team, where necessary. To take minutes of meetings, type and distribute to all members of staff and to follow up actions as required. Audio-typing where appropriate. Use personal planning and organisational skills to work with minimal supervision within the set parameters to be confident to manage and prioritise time effectively and efficiently. To provide professional, comprehensive and confidential administrative support to the team. This includes typing of correspondence, reports and policies from handwritten, dictated, paper, or electronic information in line with Trust corporate guidelines. Develop a variety of analytical reports from raw data and a range of sources which may require researching information through various sources in order to present information as meaningful, reports, graphical charts, excel spread sheet or power point presentations. To attend meetings, training and briefing sessions appropriate to either your job specific role or, as a staff member of NCA. To deal with sensitive telephone calls which at times, may relate to complaints from patients and torespond to queries, dealing with routine matters and passing on more complex queries to the appropriate member of staff To order and monitor stock and non-stock items for the department. To ensure at all times that the office admin is adequately covered and where necessary, work flexibly to cover secretarial/administrative duties in the absence of colleagues. Collect, collate, input and extract data into/from NHS systems, as directed by Assistant Director/ Team Leader from Electronic Patient Record (e.g. SystmOne), E-Roster). Following Trust policies ensuring guidelines regarding confidentiality, disclosure of information and Data Protection are observed at all times To work as part of a team, relate and interact effectively with colleagues.
