Summary


Administration Apprenticeship

Throughout the duration of this role, postholder will be required to enrol onto and complete the Business Admin Level 3 Apprenticeship. This programme will be completed within working hours in which allocated study time will be agreed with the line manager. The apprenticeship will run for 15-18 months with postholder gaining a Level 3 Nationally recognised apprenticeship qualification.

Apprenticeship Programme Overview

The programme has been structured around three key themes of learning to support learners develop their knowledge and skills in a logical manner:

· Core Business and Administration

· Supporting Business Performance

· Project Management

The programme will be delivered fully remote through the support of an external training provider using a blended learning approach, combining face-to-face tutorials with online learning resources and support

Eligibility

To be eligible for this apprenticeship, postholder must meet the following criteria.

· Be eligible to work in the UK and / or have a visa valid for the full duration of the apprenticeship.

· Be a UK / EU resident for the past 3 years.

· Not be over experienced in same field as the apprenticeship.

· Not have any prior qualifications equivalent/exceeding the apprenticeship.

· Have already obtained /be willing to work towards Functional Skills Level 2.

· Not be in any other government funded programmes, such as University.

To provide a high quality administrative, clerical and reception service for patients and their carers who access the Trust services.

The post holder will encompass regular telephone liaison with external agencies.

You will be required to use your initiative in all aspects of secretarial and clerical work to efficiently prioritise work and meet deadlines, as the service requires.

Your duties will encompass regular liaison regarding the keeping of the appointments diary typing of letters and reports, taking and transcribing minutes at meetings as necessary, telephone liaison as necessary with external agencies and making appointments at the request of the service. You will assist in the maintenance of records, filing, and photocopying and any duties essential to the comprehensive secretarial support service you will provide.

The post holder will be an active member and contribute to the effective operation of a multi-disciplinary team.

Your dealings with matters relating to clients and staff is of a highly confidential nature and should not be divulged to another or discussed with other colleagues other than as necessary within the context of your role.

In order to meet the needs of the Trust you may be required from time to time to work at different locations to your normal place of work. This may mean that you are required to work at any location that fall under Barnet, Camden, Enfield, Haringey or Islington. The Trust reserves the right to require staff to work at such other places or locations as it considers reasonable and necessary on a temporary or permanent basis.

1. To operate a desktop PC, arranging appointments, drafting and typing of letters, typing of assessments, and any general correspondence as requested by the team.

2. To receive information/referrals, both verbal and written from patients, GP’s, carers and staff which require tact and sensitivity.

3. To ensure all messages given verbally, written or by telephone are passed on to the correct discipline within an agreed timescale.

4. To have a good working knowledge of the Trust’s patient medical records system “RiO”.

5. Receive incoming post, faxes and emails, collating with previous correspondence before passing to the team.

6. Photocopying and collating documents as required.

7. Deal with correspondence on behalf of the team.

8. Ensure good working relationships with all staff, the organisation and outside agencies.
