Are you a detail-oriented professional with a passion for creating exceptional workplace experiences? ISS is seeking a Workplace Facilities Assistant to join our team!

This role is vital to the smooth running of the client's UK offices, delivering high-quality service, ensuring compliance, and supporting both employees and guests.

Job Description

As the Workplace Facilities Assistant, you will play a central role in day-to-day office coordination, supporting facilities operations, managing vendor relationships, and driving sustainability and safety initiatives—all while upholding the core values of both ISS and the client.

Key Responsibilities

Assist the Senior Workplace Facilities Manager and wider team in day-to-day operations.
Manage documentation and coordinate essential services like cleaning, maintenance, and catering.
Maintain workplace management systems with up-to-date information.
Track budgets, process invoices, and generate performance and usage reports.
Be the go-to contact for workplace queries from employees and contractors.
Liaise with suppliers and internal teams to ensure smooth service delivery.
Keep accurate health and safety records and support audits.
Contribute to sustainability initiatives such as waste reduction and green practices.
Identify efficiencies and contribute to process enhancement.


Professional and Personal Competencies/Qualifications

Experience in a similar coordination or administrative role (preferably in facilities management).
Proficiency in Microsoft Office Suite and workplace management systems.
Excellent written and verbal communication skills with the ability to communicate across all levels of seniority.
Organisational and multitasking abilities.
Familiarity with health & safety standards (preferred).
