The role:
This is a pivotal administrative role requiring a high level of discretion, responsiveness, and
professionalism. The successful candidate will act as a key interface between the various internal/external stakeholders, ensuring accurate scheduling of appointment and engagements are managed with precision and foresight.
Key Responsibilities:
Full ownership of diary management for a very senior member of staff, including:
o Scheduling and rescheduling meetings with minimal disruption
o Coordinating with internal teams to ensure availability and alignment
o Anticipating potential conflicts and proactively resolving them
Providing detailed briefings on upcoming engagements, including:
o Locations, travel routes, and logistics
o Required documents and background materials
o Contextual awareness of political or public events that may impact the day
Meeting and Event Preparation
• Assembling daily folders with all necessary materials for meetings
• Ensuring all papers are printed and organised (especially important due to the managers dyslexia)
• Booking meeting rooms and arranging travel as needed
• Supporting the manager during events or high-profile days (e.g., spending reviews)
Communication and Liaison
• Acting as a key point of contact for the office
• Liaising with senior advisors, support officers, and external stakeholders
• Representing the office with professionalism and approachability
• Using tools like Microsoft Teams for real-time coordination and document sharing
Administrative Excellence
• Managing and updating Teams Planner and Outlook calendars
• Ensuring timely responses to emails and requests
• Maintaining a high standard of organisation and attention to detail
• Supporting the wider team during periods of change or high workload
• Political Awareness: Understanding how current events and political developments
may impact the manager’s schedule and responsibilities.

• Proven experience in high-level diary and administrative support roles
• Strong command of Microsoft Office Suite, especially Outlook and Teams
• Excellent written and verbal communication skills
• Ability to work under pressure and adapt to rapidly changing priorities

• Politically aware and engaged with current affairs, particularly in London
• Comfortable working in a hybrid but office-heavy environment
• Personable, proactive, and confident in liaising with senior stakeholders
