FACILITIES ADMINISTRATOR (Fixed Term Contract)
Salary: £28,800 (pro rata £14,400)
Working Hours: Full-Time, Fixed Term Contract (6 months), 40 hours per week, Monday - Friday between 9am and 5:30pm
Location: Thomas Tallis School, London, SE3 9PX
We're looking for a Facilities Administrator to join G4S Facilities Management on a 6-month fixed-term contract at Thomas Tallis School in London. This full-time role will provide essential administrative support across our Tower Hamlets and Greenwich contracts.
Responsibilities
Provide crucial support to Help Desk operations during critical staffing periods, as part of our contingency plan.
Maintain central office systems, ensuring all records are accurate and align with company procedures.
Develop a strong understanding of contractual requirements and site operational needs.
Support payroll and scheduling through the consolidation, management, and reporting using Kronos/Pretium.
Deliver comprehensive administrative support across the Tower Hamlets and Greenwich contracts.
Manage purchase orders, receipting, and invoicing using Ariba/SAP.
Administer weekly agency cover in collaboration with operational teams.
Assist and deputise for the Payroll/Office Manager as needed.
Handle general office administration, including drafting correspondence, managing the filing system, booking meetings, ordering uniforms and PPE, and arranging parking permits
The Ideal Candidate:
To be successful in this role we are looking for someone who
Is highly proficient in IT systems, including Google Suite. While knowledge of CAFM systems, SAP, and Ariba is a plus, it's not essential as full training will be provided.
Is highly organized and effective at managing your workload to meet diverse deadlines for managers and the wider team.
Who demonstrates a flexible approach to work and is a strong team player.
Proven experience in an administrative role is essential
Possesses strong minute-taking ability.
Has experience in collaborating effectively with individuals at all levels.
