About Us:

We are a growing and professional HVAC installation and maintenance company based in Hoddesdon, Hertfordshire. We deliver high-quality heating, ventilation, and air conditioning services to a wide range of commercial and residential clients. About the Role:

We are seeking a highly organised and proactive Operations & Compliance Coordinator to support the smooth running of our office and field operations. This varied role covers administrative support, HR coordination, document management, and compliance-related responsibilities. You will work closely with both office staff and field engineers to ensure our operational processes run efficiently and in line with industry standards.


Key Responsibilities:

Operations & Administration:
Manage company vehicle records, MOTs, services, insurance, and documentation
Order materials and equipment; raise purchase orders
Manage office utilities (water, electricity, broadband, etc.)
Provide general administrative support to the team and management


Compliance & Documentation:
Prepare and maintain RAMS (Risk Assessments and Method Statements), O&M manuals, and project reports
Support with company accreditations and renewals (e.g., CHAS, SafeContractor, etc.)
Ensure insurance documents are up to date and accessible

Finance & Reporting:
Cross-check engineer timesheets against invoices
Type and format project quotes and other formal documents

HR & Staffing:
Support with recruitment and onboarding documentation
Keep staff records up to date (e.g., training, qualifications, leave)
Assist in coordinating staff schedules where needed



What We’re Looking For:

Proven experience in a similar administrative or operations-based role
Strong organisational skills with excellent attention to detail
Ability to manage multiple tasks and deadlines effectively
Comfortable working with engineers, suppliers, and external stakeholders
Proficient in Microsoft Office (Word, Excel, Outlook)
Experience preparing technical documents (RAMS, O&M) is a plus
Understanding of basic HR or finance admin is desirable
