Summary
Main Tasks and Responsibilities: Support the daily operations of a busy hospital print room by assisting with print tasks and following established procedures under minimal supervision. Assist the Print Room Manager in maintaining accurate and up-to-date working practices to help ensure print quality, workflow consistency, and process efficiency. Greet and assist customers at the print room reception area, recording job details clearly and professionally to ensure accurate service delivery. Communicate with internal staff and external clients to clarify print requests, ensuring that job specifications, deadlines, and required outputs are properly understood. Use digital print systems (e.g. EFI Command Workstation, Digital StoreFront and FileMakerPro) to help process job tickets and monitor basic workflow tasks as directed. Operate and monitor high-volume multifunction print and finishing equipment under supervision, reporting malfunctions promptly according to established protocols and procedures. Carry out document finishing tasks such as binding, folding, trimming, labelling and packaging in line with instructions and job specifications. Provide support to users on document setup issues, referring more complex queries to senior staff as needed. Handle routine telephone and email enquiries in a polite and helpful manner, ensuring information actioned, passed on, or logged correctly. Manage assigned tasks independently within agreed deadlines, maintaining clear records of job progress and priorities. Perform daily checks on equipment as instructed, logging usage and reporting any issues to senior team members. Keep work areas clean and tidy, contributing to a professional, safe and organised print room environment. Monitor stock levels of paper and consumables during use, alerting the Print Room Manager when supplies need replenishment. Accept and process cash and cheque payments accurately (when necessary), ensuring receipts and records are handled securely. Ensure all print jobs are recorded, tracked, and signed off by customers or staff where required. Use print management software as trained to help queue and release print jobs and check job statuses. Assist in the upkeep of quality control processes by following standard procedures and highlighting any recurring issues to senior staff. Handle all documents and print jobs with care and confidentiality, respecting data protection and NHS policies at all times. Follow NHS branding, copyright, and information governance guidelines when working on materials intended for publication. Deliver completed jobs to the designated dispatch area or post room on time, following Trust procedures. Safely lift and transport boxes of paper and printed materials, following manual handling guidelines to avoid injury. Maintain focus and accuracy when working under time pressure, ensuring jobs are completed to the required standard. Take part in training and daily team updates to stay informed about new print procedures, technologies, or service changes. Work closely with Design Team colleagues and provide general support to help ensure the print room runs smoothly on a daily basis.
