G4S Facilities Management are recruiting a Senior Business Support Assistant on a full-time, permanent basis.
The position is permanent, full-time, 40 hours per week from Monday to Friday, between 8:30 am and 5:30 pm. The annual salary is up to £28,644.30. This is a home-based role.
The Senior Business Support Assistant will work with the Executive Assistant to provide business support and ensure the efficient operation of the senior leadership team
Responsibilities
Collaborate with the Executive PA to manage and support the Senior Leadership Team. This includes arranging appointments and meetings, managing emails, and handling ad hoc administrative tasks as requested.
Produce documents and information, often confidential and sensitive, in a timely manner, meeting company and department standards for efficiency and accuracy.
Prepare for meetings, attend them, and take minutes/actions as requested, even for sensitive or confidential topics, and circulate these as needed.
Schedule appointments, coordinate travel and accommodation, and produce itineraries for team events.
Receive and respond to enquiries, providing relevant information. Know when to refer queries beyond one's experience to the appropriate team or department for timely and effective service.
Assist in creating communications for business-wide distribution, such as newsletters, organizational announcements, and specific project updates.
Organize and manage employee recognition programs, including Long Service Awards and Annual Awards.
Occasionally travel to meeting locations to support the Senior Management team and/or the Executive Assistant as required.
Help provide Google Training to new starters and others needing additional support with Google Suite.
Provide holiday cover for the Executive Assistant to the MD of Facilities Management & Public Services.
Undertake various special projects involving internal and external research and liaison, working within a framework set by the Executive Assistant.
Organise department-wide administrative matters, delegating or personally undertaking the necessary work.
The Ideal Candidate:
Essential
Relevant secretarial /administrative experience
Good planning and organisation skills
Ability to be flexible, multi- task and use own initiative
Ability to work supportively within a team
Excellent written and verbal communication skills
Ability to work in a confidential manner
Thorough understanding of organisational dynamics
1-2 years’ experience working at a senior level
