What you'll be doing
You will have the following accountabilities:
- Admin support for BBLP SLT Directors and staff, supporting Personal Assistant with regular and ad hoc tasks, such as:
- Travel bookings- Train, hotel, flights
- External venue bookings
- Arranging off-site meeting rooms/co-ordinating bookings
- Manage the branded merchandise bookings
- Producing name badges for events
- Internal meeting room bookings and catering
- Managing SLT Quality Leadership Site Visits
- Scheduling visits, liaising with SLT members and Contract team
- Managing The Belfry Golf booking system
- Dealing with enquiries, bookings and confirmations
- Managing the Directors Hotline
- Scheduling the monthly hotline with SLT availability
- Activating and deactivating the call forwarding each month
- Procurement admin
- Raising requisitions/PO, paying invoices, ordering PPE/stationery as required
- Managing supplier payments for non-PO supplies & services using Pcard/Corporate Card
- Liaising with suppliers
- Assist SLT Directors with compiling and submitting expense claims
- Assist with the smooth running of Basingstoke office (checking post, stationery, kitchen supplies
and other FM duties as required, liaising with FM Supervisor) - Assist Training Dept with scanning training cards and certificates
