About the Role:
Global Technologists is a SME consortium of skilled data professionals supplying data engineering, design, architecture, administration and support services across on-premises, hybrid, cloud and multi-cloud environments to both public and private-sector clients.
We are seeking a highly organised and detail-oriented Bid Coordinator to identify, manage and execute public-sector tender opportunities to help drive business growth. In this role, you will identify, evaluate, and execute tender opportunities on public-sector platforms ensuring that every bid is prepared to the highest standard and submitted on time. Working closely with the management team, you will advise the business on current opportunities, track bid progress, and engage in continuous optimisation of the process to maximise success rates.
This is an ideal role for someone with prior experience in procurement, bid writing or tender processes (particularly working within SMEs) who can help refine the bid management process, balance multiple bids, manage documentation efficiently, and apply structured methodologies to qualify and progress opportunities.
Key Responsibilities:
- Identify and monitor tender opportunities on UK public sector tender portals.
- Assess opportunities for suitability (using both formal methodologies and self-organised methods).
- Compile and present key details of tender opportunities for review by management and peers.
- Execute and manage the Expression of Interest process, including completing supplier questionnaires, bid documentation, and supporting forms.
- Write and execute bid returns in response to successful EOIs and engagement with buyers.
- Ensure compliance with all tender specifications and terms, reviewing terms and conditions, compliance criteria etc. as necessary.
- Track bid submissions, deadlines, and progress while maintaining accurate records.
- Optimise tender processes through regular review and feedback to improve success rates.
- Advise the business on strategies for optimising bid success
- As required, attend/contribute to client meetings i.e. discovery calls, needs evaluations
- Assistance with arranging contract paperwork e.g. SoWs, MoUs, supplier contracts etc.
- Attendance, participation and support at external networking/marketing events as required
- Administrative support elsewhere in the business as required.
Skills and Qualifications:
Experience: Prior experience as a bid writer, bid coordinator, or in procurement, or tender management (ideally within an SME or related environment) or equivalent academic experience i.e. as postgraduate/postdoctoral RA responsible for grant applications, or similar translatable experience in complex administration.
Technical Knowledge: General familiarity with data consultancy/services or IT services generally would be beneficial, but background training in our services and the core technologies will be provided irrespective of your background or experience.
Tools and Platforms: Proficiency and experience with document management systems; experience with bid/tender platforms such as Supply2Gov, In-Tend, Contract Finder/Find a Tender and so on is desired.
You will be IT literate and able to work comfortably with modern tooling (including e.g. Google Docs, Outlook, SharePoint, Teams/Zoom, Slack, web-based portals and similar tools).
Autonomy and Collaboration: Ability to work independently to qualify and execute bid opportunities while collaborating with the wider management team on key decisions, and ownership of the bid from inception to completion.
Organisational Skills: Outstanding self-organisation and time management skills to handle multiple tenders, deadlines, and complex documents.
Communication Skills: Exceptional written and verbal English language skills, with the ability to present information clearly and concisely, tailoring your message to your audience.
