As an Events Officer, you will lead the direct delivery of Civic events and activities, as well as supporting colleagues in delivering high-quality one-off events within the District.

This includes managing inquiries related to Civic events, maintaining accurate financial records, and providing expert advice and support to both internal and external stakeholders. The role aims to minimise reputational and financial risks to the Council during event planning and execution.

Additionally, the position requires active involvement in the Civic Affairs team, including deputising for the Civic Affairs Manager when necessary, making autonomous decisions with appropriate guidance, and fostering a collaborative team environment.

Main responsibilities:

Responsible for effectively and efficiently sourcing documentation required for Civic events such as risk assessments, event management plans and health and safety procedures and plans
Devise or contribute to strategies for crowd management, transport and contingencies for the effective and efficient management of Civic events
To manage with guidance or assist the Civic Affairs Manager in managing event personnel and resources and contribute towards resolving the overall health and safety issues affecting Council employees and volunteers, members of the public and stakeholders including service partners
To develop and maintain mutually beneficial respectful and effective relationships with key stakeholders such as emergency services, statutory bodies and internal and external stakeholders involved in the planning of Civic events including with Veteran Groups to gain the Veterans Groups support and active involvement in certain Civic events
To coordinate the Civic Affairs team and Council resources and procedures to enable the creation of Civic events to be as seamless and timely a process, working with and enabling stakeholder groups to contribute to the planning and delivery of Civic events
To work within the financial budget for the event and organise and maintain systems to track expected expenditure against actual expenditure.
Liaise with stakeholders, if necessary, acting as Chair at meetings with guidance, to develop and maintain the event management plan, ensuring stakeholders are aware of what is required whilst maintaining internal and external relationships such as the Safety Advisory Group
Support with promotional material and marketing campaigns for events and for other activities such as the Lord Mayor’s Appeal. Draft, with guidance, speeches and press releases, liaising with expert colleagues, taking guidance and advice where necessary to achieve outcome required.
Be aware of the Lord Mayor’s position as First Citizen of Bradford District and work effectively with the Lord Mayor towards their goals and ambitions whilst having a keen awareness of the restrictions of the Mayoral role such as political impartiality whilst in post.
To support and assist in planning and managing other Council events when required to do so.

Key Requirements:

Experience in sourcing and preparing documentation for events, including risk assessments, event management plans, and health and safety procedures
Ability to develop and contribute to strategies for crowd management, transport, and contingencies to ensure smooth event operations
Strong understanding of health and safety regulations and practices in relation to event planning
Experience managing safety concerns for Council employees, volunteers, the public, and stakeholders
Ability to assist in managing event personnel and resources, working collaboratively with teams to resolve challenges and deliver successful events
Proven ability to build and maintain effective, respectful relationships with key stakeholders, including emergency services, statutory bodies, Veteran Groups, and internal/external stakeholders.
Experience liaising with diverse groups to gain support and ensure smooth event planning and execution
Experience in working within budget constraints and tracking expenditures for events
Strong communication skills, with the ability to chair meetings and liaise effectively with internal and external stakeholders, including the Safety Advisory Group
Proficiency in drafting speeches, press releases, and promotional materials, with the ability to work with colleagues for content creation
Strong organisational skills, with the ability to coordinate multiple tasks and resources to ensure timely and efficient event delivery
