Summary
Job Summary: The Medical Receptionist Supervisor plays a vital role in the smooth running of the practice's front-of-house operations. This role is responsible for supervising the reception team, ensuring a high standard of patient service, managing daily workflows, and supporting the delivery of key administrative targets, including call/recall processes and QOF-related work. The post holder will lead by example, promote a positive working culture, and work closely with the management team to support efficient, patient-focused service delivery. Key Responsibilities: Team Leadership & Supervision: - Lead, support, and supervise the reception team on a day-to-day basis. - Monitor and manage reception workload, staff performance, punctuality, and conduct. - Coordinate and maintain staff rotas, ensuring adequate cover across all shifts. - Provide training and ongoing support for new and existing reception staff. - Hold regular team meetings and 1:1s, promoting open communication and continuous improvement. Patient Services: - Ensure all patient interactions are handled professionally, efficiently, and with empathy. - Resolve patient queries and complaints where appropriate, escalating where necessary. - Oversee appointment management - Support initiatives to improve patient access and satisfaction. Administrative Duties: - Ensure all front desk procedures are followed, including registration, prescriptions, and document handling. - Manage call and recall processes for long-term condition reviews, immunisations, smears, and health checks. - Support the delivery and monitoring of QOF, IIF, and other key performance indicators. - Monitor the completion of coding, documentation, and follow-up administrative tasks. - Work with clinical and admin teams to ensure smooth internal communication and workflow. Operational Support: - Support the practice manager in audits, compliance checks, and implementation of protocols. - Assist with safeguarding, data protection, and confidentiality adherence within the reception area. - Contribute to service development, process improvement, and patient engagement strategies. - Act as a point of contact for IT queries, system training, and day-to-day problem solving in the reception area.
