As Diary Manager, you will be joining our Chief Executive’s Private Office and will provide a range of administrative support to assist them in executing their role. You will help ensure that the Chief Executive is in the right place, at the right time, with the right information.

In this interesting role you will lead on the effective management of the Chief Executive’s Diary, Meetings, Travel and Expenses and provide administrative support to the wider Private Office in relation to its execution of its duties, the Executive team and Non-Executive Directors.

Your key duties and responsibilities will include:

  • Managing the Chief Executive’s diary and meetings, with complete ownership of their diary, proactively planning, rescheduling meetings and ensuring briefings and materials are prepared in advance to enable the efficient and effective use of their time.
  • Managing the Chief Executive’s travel and accommodation arrangements and utilising travel management software to book travel and accommodation, providing clear itineraries and travel instructions.
  • Managing the Chief Executive expenses in a timely manner and tracking a record of expenses for accurate and efficient reporting.
  • Supporting the Private Office with adhoc activities and preparing for and attending daily update meetings.
  • Managing the inbox and coordinating enquiries, filtering phone calls, emails, invitations, and referring them to an appropriate colleague(s) or handling directly.
  • Proactively and consistently maintaining a record of stakeholder contact lists, and monitoring attendance at meetings and coordinating/circulation of papers.
