Summary
Purpose & Overview of the Role We are looking for an individual with strong technical expertise in managing data who is a highly skilled SystmOne specialist with the ability to create enhanced reports by following specifications, create and deliver training programmes across our stakeholders as well as someone who has an eye for detail. Within this role there will be elements of cross-working with the Business Intelligence team in developing data visualisations and querying data with our sub-contract organisations. The postholder will work on project mobilisation teams providing expertise in clinical system management, innovative ideas, and reporting solutions to streamline processes. Previous experience of working in or with the NHS is essential and management of projects or working within a project team is highly desirable. To be successful in this role you will be an excellent problem solver, a logical thinker, and comfortable communicating your processes to a range of stakeholders including our internal Senior Management Team (SMT). Your work will make a tangible contribution to delivering the organisations business strategy. Key Areas of Responsibility The below describes the current role functions but is not an exhaustive list. The role will continue to grow and adapt with the Digital team and wider organisation: Technical Skills: Setup entire new SystmOne units from scratch or repurposing units to fit the need of the customer or service. Setup of new resources within SystmOne including new and ad-hoc pieces of work. Creating complex templates, protocols, and reports in SystmOne to ensure that our data is accurate and tells the correct story to commissioners. Working directly with customers and providers to scope their level of requirements with new services and can use intuition to make their system work for their needs including creating resources and training staff. Oversight and cover of centralised data extractions from SystmOne as well as any manipulation of data as required by the Business Intelligence team. To actively support in monitoring data quality and accuracy issues by reviewing datasets with the Systems & Reporting Officer. To work closely with all levels of the team and the organisation to provide specialist knowledge in clinical systems, build relationships with stakeholders, understanding the needs of the system we serve and liaise with likeminded people to be instrumental in the better delivery of patient care and experience. Provide practised skills in the creation and implementation of new resources, training materials and delivery, and project support. Oversight, cover and management of data requests and prioritising workload to fulfil requests within set Key Performance Indicators (KPIs). Setup and maintenance of internal PCL services in the National e-Referral System (e-RS). Liaising directly with IT providers for all relevant IT setup including but not limited to the Registration Authority (RA) for access requests and new user setup and the Customer Relationship Managers (CRM) to assist with contracting and new equipment requests. Liaising with TPP this includes requesting updates on new functionality and/or turning on functionality for providers, attending webinars and requesting of new units. To assist colleagues across other departments in PCL with queries and finding solutions. Liaison and joint working with the Business Intelligence team within PCL on data extractions, queries and creating visualisation dashboards to better present our work to different stakeholders. Ability to create and manipulate new clinical system reports on an ad-hoc basis to assist with the needs of the business. Help to scope new solutions and innovative ways of delivering contractual requirements with clinical system reports. Manage access to inactive patient records across clinical systems, creating guidance and supporting staff training and upskilling in information governance where necessary to ensure correct and suitable access in line with legislation. Project and Team Support: Maintain clear Standard Operating Procedures (SOPs) for business-as-usual (BAU) workload. Oversight of clinical system license agreement, asset, software, and system access logs. This includes monitoring role-based access controls (RBAC) and helping to administer cloud-based systems. Overseeing and cover of the PCL Digital support inbox on behalf of our staff, providers, and stakeholders, this includes being responsive, helpful, and friendly to all. Handling miscellaneous queries from all stakeholders and colleagues and escalating as necessary. To work closely with other Enabling Services teams within the organisation including Business Intelligence, People Practice, Business Support, Contracts, and Finance. To work collaboratively with the Digital and Projects Manager to assist with implementing project solutions and providing expertise with systems and reporting requirements. Support the Digital and Projects Manager with creating and maintaining project documentation which could be across multiple projects at once. Collaboration across all PCL partner organisations, strategic relationships, and new company entities. Attending both virtual Teams and in person meetings as required. Forming and maintaining good working relationships with all. Ability to follow policies and procedures for own area and proposal of changes impacting cross-professional working groups. To ensure that all deadlines for own workplan, either routine or ad-hoc, are met. Plan, organise and adjust programmes of work to meet business and customer requirements, highlighting any issues arising with line manager prior to deadlines. To work closely with operational colleagues in supporting business needs. Communication of the highest standard with internal and external stakeholders of PCL. Flexibility and adaptability with presenting solutions to stakeholders with a dependency on their levels of understanding our internal processes and technologies. Responsible for asset management of devices across the organisation to ensure compliance standards. Strategy: Support the implementation of the Digital strategy including aligning the business to our forward-thinking objectives to make advancements within the digital field. Be a Digital champion for Information Governance and Cybersecurity across the organisation. This includes advocating for best practices in data protection, confidentiality, and cyber resilience. You will be vital in encouraging compliance with legislation, raising awareness, supporting incident responses, and bridging the gap between technical security measures and everyday practice ensuring that staff understand their role in protecting data. Development: Deputising for the Digital & Projects Manager as required. Attending PCL Stakeholder events to broaden your network and build relationships. Attending our bi-annual PCL staff development and engagement sessions. Lead the creation of the new training programme for all new staff in patient facing roles to maximise their knowledge in clinical systems and information governance. Keep up to date with all new and mandatory training associated with the role. Attending webinars and events that may be internal or external to the business to better understand the digital health care industry and future planning. A commitment to personal development and continued professional development in relevant areas to the role.
