Summary

Job Summary To provide cover for the AVS co-ordinator when they are not at work - approx. 2 days per week - and for holiday cover as required To provide an efficient and confidential administrative support service to BGPF and the wider team Maintain office systems, which contribute to the efficiency of the department Support the Operational Manager with the day to day running of the clinics Provide support to projects undertaken by BGPF Key Responsibilities and Duties Monitor the AVS team inbox and co-ordinate paramedic visits accordingly. Monitor the AVS spreadsheet and ensure feedback is delivered to the relevant surgery for each visit. Liaise with the AVS team and support the clinicians to complete visits and communicate with surgeries Collect feedback directly from patients regarding the AVS service. Booking and arranging meetings including room bookings for internal/external staff and visitors Provide an efficient and confidential administrative support service to the BGPF team Co-ordination/organising of BGPF related events including room hire and any supplies/refreshments etc. Ordering of stationery/kitchen supplies and ensure stationery supplies are monitored Assist PA in diary management for senior management team as and when required and cover during periods of leave Monitor company inbox and delegate the action/request to the relevant staff member Collect and manage data from various sources Manage company folders/files Support the Operational Manager with the day to day running of the clinics Support the Medical Director with complaints and compliments management Comms updates internally and on company social media i.e., Facebook, Instagram, LinkedIn Assist HR in recruitment i.e., advertising roles, uploading JDs etc. NHS Jobs & Indeed Update the contacts list and key asset list Equality and Diversity The post-holder will support the equality, diversity and rights of patients, carers and colleagues, in a non-discriminatory culture to include: Acting in a way that recognises the importance of peoples rights, interpreting them in a way that is consistent with procedures, policies, and current legislation Respecting the privacy, dignity, needs and beliefs of patients, carers and colleagues Behaving in a manner which is welcoming to the individual, is non-judgmental and respects their circumstances, feelings, priorities and rights Personal/Professional Development The post-holder will: Participate in an annual appraisal conducted by their Line Manager Take responsibility for own personal and/or professional development, maintaining a record of own learning Participate fully in any training programme agreed by BGPF as part of this employment. Training may need to be undertaken outside of normal working hours, and/or off site Setting an Example Positively and effectively project BGPFs values, philosophy, activity and outcomes with all levels and disciplines of staff Quality and Governance The post-holder will strive to maintain quality within BGPF and will: - Provide information for a DBS check and inform BGPF of any incident that may change the DBS status Have the right to work in the UK and inform BGPF of any change Alert other team members to issues of quality and risk Immediately report any safeguarding or compliance concerns Assess own performance and take accountability for own actions, either directly or under supervision Work effectively with individuals in other agencies Effectively manage own time, workload and resources Work within your personal competence Promote and participate in a high standard of care Work with other employees to ensure a seamless journey for patients through different aspects of their care Assist management to maintain regulatory compliance Co-operate in the effective resolution of team conflicts Attend meetings as required Communication The post-holder will always establish and maintain effective communication pathways with colleagues, management, patients, carers and other health care professionals Excellent people skills are essential to engaging all levels of contributors and stakeholders in a diplomatic and meaningful way Use email and other recognised methods and processes to communicate with Service Users and other agencies, ensuring the policies and procedures of BGPF are followed, such as maintaining confidentiality Patient Confidentiality The post-holder must always respect patient confidentiality and the confidentiality of electronically stored personal data in line with the requirements of the Data Protection Act The post-holder should not divulge patient information unless sanctioned by the requirements of the role Obtain, process and/or use information in line with GDPR requirements Health and Safety/Risk Management The post-holder must always comply with BGPFs Health and Safety policies, follow agreed safe working procedures and report incidents using the organisations Incident Reporting processes The post-holder will comply with the Data Protection Act (1984) and the Access to Health Records Act (1990) The above profile and benefits represent the job requirements.
