Summary
Job title: Transport Coordinator
Reports to: Transport Manager
Location: Leyton, E10
Hours of work: Full time - 8 hours flexible between 06:00 – 19:00
core hours 06:00-14:00
Job Purpose:
The role of a Transport Coordinator is to ensure that all jobs are scheduled into the transport diary, all drivers are informed of their itineraries and all administration handled effectively.
Key Tasks:
• Assist the Operators licence holder with meeting the various requirements of
the Operators Licence:-
o Ensure laws are observed relating to the driving and operating of vehicles.
o Observe drivers’ hours rules and keep proper records.
o Ensure vehicles and trailers are not overloaded.
o Ensure vehicles operate within speed limits.
o Ensure that motor vehicles and trailers are kept fit and serviceable. Report
promptly any defects that could prevent the safe operation of vehicles/trailers.
• Schedule & Manage the daily workload of a team of 30+ driver technicians
• Advise on truck trip scheduling.
• Organising/delivering health and safety and technical skills training for new
employees/refresher training for existing employees.
• Ensure the vehicles have the correct equipment and materials on board by
making regular inspections.
• Ensure Driver technicians are equipped with the correct tools and fittings.
• Process transport jobs in the transport diary.
• Booking of external resources as necessary.
• Check accuracy of information provided for each job & ensure cross-
departmental communication.
• Compile drivers’ folders for following day’s trips & check all documentation
• Process petty cash.
• Process and report accident forms as necessary.
• Processing of parking tickets, ordering fuel cards etc.
• Input transport costs on AMS.
Skills & Personal Qualities
• Experience in the transportation field, as a Transport planner, coordinator, administrator or traffic clerk.
• Ideally has familiarity with Drivers Hour Rules and Working Time Regulations
• Ability to work well under pressure
• Flexible and co-operative approach to work: willingness to work as a team member – prepared to work to tight deadlines
• Highly collaborative
• Excellent communication skills both internally and externally
• Administrative excellence with a high attention to detail.
• Ability to maintain clear and concise records, filing and effective monitoring systems
• Excellent computer literacy
• Well-developed numerical and analytical skills.
• Ability to manage time effectively and see projects through to completion.
• Some knowledge of the art industry would be useful.
• Demonstrates a good understanding of Momart’s security programme and their role in it.
• Assists colleagues, customers and suppliers in resolving security issues and escalating where necessary
