Summary

Overview of Role:
Havering Volunteer Centre delivers valuable Volunteering Services across the London Borough of Havering which matches volunteers with organisations that need their help and support.
This is a broad role that will complement your strong commitment to volunteering and understanding of Volunteer Management and Co-Ordination. A self-starter and excellent team player, you will have experience in the delivery of community and volunteering projects or services and be able to support the personal development and management of volunteers.
Your primary role will be to ensure the smooth running and co-ordination of the volunteer programme securing plenty of volunteers to support services at the health hub. You will work with team members to engage volunteers in to a variety of training and workshops and coordinate small to medium sized events to celebrate Volunteers Week and promote volunteer contribution to the community and voluntary sector.
Excellent planning, organisation and prioritising skills are essential, alongside good MS Office knowledge and user skills.

Key Duties and Responsibilities: Health Hub Volunteer Co-Ordinator

• Ensure that the appropriate amounts of volunteers are allocated onto volunteering shifts daily to cover the needs and requirements of the Health Hub
• Be the single point of contact for all volunteering needs, issues and requirements on site 7 days a week
• Conducting the site on-boarding and induction process with anyone wishing to volunteer, some of whom may have additional support needs, offering them a choice of vetted and appropriate volunteer placements within the Health Hub
• Encourage volunteers to undertake a variety of training sessions provided to support their development
• Undertake periodic volunteer support and supervision sessions to ensure that key objectives of both the site and volunteers are being met
• Conduct volunteer team meetings to share and relay pertinent information
• Gather feedback and experiences of volunteers and case studies for reporting
• Attend site meetings where appropriate to feedback to services on the volunteer involvement at the hub
• To ensure the Volunteer Centre maintains its person centred holistic approach
• Work with the services on site and groups to maintain an adequate range and supply of volunteering opportunities that suit volunteers with varying abilities and support needs
• Ensure that the service provided is sensitive, empathetic and tailored to the individual needs, in particular people who are long-term unemployed, who may have a mental health condition, new migrants, those with disabilities or chronic health conditions, learning disabilities, have experienced homelessness or addiction, those surviving domestic violence and people with a history of offending
• To provide encouragement and empower those who have the desire to volunteer but may lack in skills, experience or confidence
• Respond to the need and demand of volunteering within the Health Hub and being instrumental in the development of smooth engagement processes
• To actively source alternative methods of volunteer engagement and recruitment by proactively seeking outreach opportunities
• Respond to telephone and online enquiries about volunteering, providing prompt, clear information to enquirers
• Maintain contact with volunteers, tracking and recording their progress and providing them with ongoing practical and emotional support to ensure they successfully take-up and sustain their volunteering
• Provide essential admin support to aid the smooth and effective operation of a diverse workload
• Data Monitoring and collating quarterly reporting figures
• On call weekends for troubleshooting and volunteer queries

General Duties:
• Providing administrative support in relation to the role, maintaining and updating information held on HVCs database
• Conduct 1:1 informal meetings with the ability to put the individuals needs as a priority and the person at ease
• Maintain administrative systems and keep clear records for monitoring and evaluation purposes. This will involve maintaining electronic case notes and updating the database
• To train/mentor volunteers and provide them with the tools and information required to successfully undertake their role
• Work co-operatively with all members of the Volunteer Centre team and those at the Health Hub
• To monitor, evaluate and report on the Health Hub Volunteer Co-Ordination assisting the HVC Centre Operations Manager to collate the required information
• In addition to these duties you may be required to perform additional appropriate duties to your role as identified by your line manager
• Occasional evening and weekend working to promote volunteering
