Summary

Document Management & Administration: Processing incoming clinical correspondence, ensuring documents are received, coded, and filed correctly. Managing outgoing referrals to other healthcare providers, ensuring accurate and timely processing. Liaising with clinicians and administrative staff to ensure patient records are up to date. Maintaining accurate digital and physical filing systems in line with GDPR and confidentiality policies. Clinical Coding & Data Management: Reviewing and assigning appropriate clinical codes to patient records using EMIS Web. Ensuring consistency and accuracy in coding for quality reporting and data management. Supporting the audit of patient records to identify and correct any discrepancies. General Business Administration: Handling queries from healthcare professionals and patients related to document processing. Assisting with general practice administration, including data entry and scanning. Supporting the practice team in maintaining a high standard of patient care and record management. Skills & Qualities Required: Eligible for an apprenticeship Good communication and interpersonal skills Strong organizational and time-management abilities Basic IT skills, including familiarity with Microsoft Office Attention to detail and accuracy in administrative tasks Ability to work both independently and as part of a team A professional and friendly attitude Willingness to learn and adapt in a healthcare environment Entry Requirements: English GCSE Grades 9-4 or A-C or Functional Skills Level 2 Maths GCSE Grades 9-4 or A-C or Functional Skills Level 2 No prior experience neededjust a keen interest in administration and healthcare Must be eligible to undertake an apprenticeship in the UK Driving licence or working towards one is desirable but not essential (due to location) Appointment is subject to Enhanced DBS check Benefits: On-the-job training and support from experienced staff. As part of your apprenticeship, at least 6 hours per week will be dedicated to off-the-job training. This training may include: - Attending college or online learning sessions related to business administration and clinical coding. - Shadowing experienced staff to develop practical knowledge. - Learning how to use EMIS Web and other NHS systems. - Undertaking clinical coding training (e.g., SNOMED codes, Read Codes). - Completing coursework and assessments set by the apprenticeship provider. - Attending workshops on NHS policies, data protection, and patient confidentiality. - Researching best practices for document management and healthcare administration. This structured learning will support your development and help you gain a recognised qualification while working in a real-world healthcare environment.
