Summary

Role Summary The Vascular Assessment Unit performs many different examinations from simple ankle brachial pressure measurements to complex vascular imaging studies. All the tests performed are non-invasive. The unit is staffed by Clinical Vascular Scientists (CVS) and the post holder would support this clinical team administratively. This includes the following: To provide efficient and accurate administrative support to the busy clinical environment of the Vascular Assessment Unit. To administer the booking system for outpatient appointments including transport, coordination with other clinics, and interpreter requirements. To maintain accurate patient records on Trust systems such as bamboo and CRIS and use IT systems, for example Excel, to maintain good organisation of the varying appointment types/urgencies To ensure completed scan reports and results are sent to patients and healthcare professionals in a timely manner. To be the first point of contact for administrative queries and to direct queries to the appropriate team member. The post holder would be primarily based at Worthing Hospital and Southlands Hospital with the requirement to cover Royal Sussex County Hospital in Brighton every Friday. Key Working Relationships Internal: Clinical Vascular Scientists Consultants Operational Managers Patient Access Managers Central Information Unit Patient Administration System (PAS) Managers Team Members and colleagues within Directorates External: Staff from outside organisations as relevant to the role, may include patients and carers, GPs and other referrers. Main Duties and Responsibilities Communication Confident communication skills when liaising with patients, their relatives or carers and health care professionals across all levels. To provide an efficient, courteous, and timely telephone service, assessing the request and its degree of urgency, to provide a satisfactory answer to the enquiry or refer to the correct area to ensure the request is responded to, for patients, GPs, other hospitals and internal departments. Co-operate with other staff in various departments within the Trust to ensure that the requested investigations are performed and results available when needed by clinicians. Service Delivery and Improvement To undertake all typing of letters, reports, and papers required to support an efficient scheduling system. To access trust patient information systems, including Bamboo, CRIS and Careflow to input and collate patient information when required. To maintain all systems required for the vascular department Abdominal Aortic Aneurysm (AAA) screening programme and other specialised activities, such as varicose vein treatments. To liaise with all multi-disciplinary staff within the Unit in the development of vascular services. To develop and maintain effective and efficient administrative systems for out-patient bookings, including arrangements for patient transport, other clinic and interpreters. To organise and maintain computer stored documentation and data and to maintain patients records both computerised and paper based. Complete necessary paperwork for billing and administrative purposes To provide administrative support and other support duties as required by the Lead CVS. To support the CVS team with placing orders for consumables and other items as required. People Management and Development Good organisational skills, along with a methodical but flexible approach to work are essential. To attend regular team meetings and huddles. Patient Care Delivery Ensure the comfort, safety, privacy and dignity of the patient is maintained. Ensure confidentiality is respected and upheld Learning and Development Attend mandatory training updates as required. Undertake training as necessary in line with the development of the post and as agreed with the line manager as part of the personal development process. Achieve and demonstrate agreed standards of personal and professional development within agreed timescales. Identify own learning needs and jointly plan training requirements with your line manager Participate in the Trusts appraisal process to discuss how your role will help deliver the best possible care to our patients and help to deliver any changes in service.
