Contract Support - Facilities Management

Key Responsibilities

Quality & Workplace Experience

  • Maintain and update QHSE documentation through internal systems.

  • Oversee CAFM systems for PPMs, reactive works, and reporting.

  • Monitor subcontractor performance and provide feedback.

  • Perform regular office inspections to ensure workplace excellence.

  • Support professional standards in VIP lounges, meeting areas, and shared spaces.

  • Foster a connected, engaged, and positive workplace culture.

Site Operations

  • Promote team culture and track training/attendance.

  • Manage timesheets, expenses, and employee record updates.

  • Assist with onboarding and Helpdesk operations.

  • Own the condition and setup of office floors and communal areas.

  • Collaborate with IT, cleaning, and maintenance teams.

  • Manage stock levels and report any H&S concerns.

  • Coordinate event logistics and enforce workspace policies.

Administration

  • Keep trackers and internal reports up to date.

  • Prepare monthly reporting data and attend review meetings.

  • Organise service call-outs, material deliveries, and extra works.

  • Ensure processes follow policies and preferred supplier usage.

  • Handle supplier invoices, purchase orders, and system updates.

Finance

  • Manage accurate contract financial records

  • Lead EW, MA & PR billing

  • Process and review invoices

  • Monitor financial reports and metrics

  • Support weekly finance meetings and commercial tracking

What You Bring
  • Proven experience in Contract Support or Facilities Finance.

  • Strong customer service and problem-solving skills.

  • Excellent organisation and time management.

  • Confident with Microsoft Office (Excel, Outlook, Word, PowerPoint).

  • Strong communication skills at all levels.
