Summary
Events To project manage all high-level corporate events and functions, as well as visits by key stakeholders to the BRC, working closely with our partners at the University and stakeholders such as Oxford University Innovation and Health Innovation Oxford and Thames Valley. Organise workshops, conferences, institutional seminars and other events targeted at key communities of stakeholders to ensure public and industry engagement and involvement for the BRC Continually assess current patient and public activities in the BRC and identify needs of BRC staff to organise the BRC Open Day, public lectures, webinars etc. Represent Oxford BRC at relevant conferences and events including the sharing of best practice with other relevant organisations or to ensure engagement with our funders, the taxpayer. To liaise where appropriate with other NHS trusts, public bodies and universities for joint event management. Represent the BRC on appropriate external networks where this is of benefit to the BRC. Marketing To identify key events relevant to the research and development and innovation work of the BRC partnership and develop appropriate plans for our interaction at these events. To identify key audiences and deliver plans to showcase the BRC projects and expertise and build wider awareness. Support the Senior Communications Manager as necessary to collate and distribute web statistics and present results to senior managers. To produce and publish a range of physical and electronic materials as required, overseeing print and distribution where appropriate. To plan and execute marketing activities to specific target groups and monitor/ evaluate/benchmark success and future development, including producing regular reports based on customer surveys. Knowledge of events booking systems, and platforms such as Eventbrite, MailChimp and Survey Monkey To have a good understanding of branding and to produce marketing materials in line with NIHR brand guidelines Engagement Work with researchers across the BRC themes to develop and integrate an engagement element into their research programmes Ensure that all the components that constitute the BRCs engagement initiatives work effectively and deliver tangible benefits to patients and researchers Distribute guidance and information for BRC theme leads and teams so that we can demonstrate patient engagement in our research priorities Maintain awareness of current and potential future relevant policy development and innovation, and provide briefings to the BRC management team via the operational management meeting presentations on progress of events, marketing and engagement activities Engage young people in research, in particular those from local schools, to promote an interest in science and a possible a career in research General duties Act as a liaison point for external agencies, such as the NIHR, and be the first point of contact for the general enquiries email via the website. Alongside the BRC Senior Communications Manager, manage social media activities, monitor the website and support as required the OUH and/or university media and communications teams in handling media requests. Work with the Senior Communications Manager to publicise BRC activities, including producing well-written and engaging web content Undertake routine administrative duties to support the BRC on key projects as required. Disseminate corporate information both internally and externally as requested by the Head of Operations and the Trusts senior management team. Coordinate meetings as requested by the BRC Head of Operations sending out the agenda to invitees, arranging dates and venues. Produce detailed reports and other documents, requiring advanced skills in PowerPoint, Excel and Word; set up spreadsheets for the presentation of information. Be responsible for the events and marketing budget for purchasing print services and other promotional materials and ensuring sign-off of orders where appropriate. Manage the events pages and patient and public involvement and engagement pages on the BRC website. Assist in the production of the BRC newsletter and distribute to subscribers. Resource Management Manage allocated budgets for events, training and other engagement activity across Oxford BRC Specifically identify appropriate sources of external funding that may generate income to fund events, such as securing sponsorship from external companies for conferences. Policy/Service development The post-holder may be required to comment on practices and propose changes to improve the service Key Responsibilities: The post-holder will be required to: Advise senior managers on a range of issues relating to Trust and NIHR policy and processes around events and marketing, including social networking sites. Monitor traffic on the BRCs social media accounts and those of key partners and respond as appropriate. Assess annual events and marketing priorities, and develop, implement and evaluate marketing communications projects. Be responsible for network/ relationship marketing. Be responsible for identifying costs and tracking budgets of marketing campaigns. Promote and administer strong relationships with a range of stakeholders internal and external to the OUH, liaising with the CEOs office, Chair and other senior staff as appropriate. Work without direct supervision and act autonomously on events and marketing campaigns and web developments Comply with data protection legislation and the Trusts information governance and patient/public confidentiality policies, taking account of these when writing and publishing events and marketing data. Work with the BRC Business Development team in researching and evaluating potential new markets. Keep the BRC Management Team regularly informed of the results of user involvement feedback activities, and of the associated action plans, preparing formal reports and seeking their approval as required Work out of hours (evenings and weekends) as required to deliver and support corporate activities and to represent the BRC at external events and networks.
