Quality Assurance Officer
To be based at our Support Centre in Welshpool
(Full Time 37 hours per week although the Company would consider part time hours for this position)
Salary – Up to £23,492.04 per annum
WHAT WE ARE LOOKING FOR: A well organised individual with excellent communication and IT skills, having a confident approach to working on different bespoke software platforms. An ability to work on own initiative and as part of a team with attention to detail and the ability to work to tight deadlines with a flexible manner. Speaking through the medium of Welsh is desirable although this is not essential. You will preferably have work based learning administration experience but training will be provided.
ROLE:
• Responsible for the quality and assurance of our internal documents
• To be the first and main point of contact for processing information regarding learner enrolment, leavers documentation, Change of Circumstances documentation, progress of review forms, registration of the qualification.
• To have overall responsibility for the accuracy and validity of the internal forms and an in depth knowledge of effectively managing leaver paperwork maximising contract performance.
• Produce audit checklists and follow a set return procedure if required
• To support development Quality assurance officers and supporting staff to use digital software platforms.
RESPONSIBILITIES:
• To audit, assure and process internal (Ipegs) forms and records in a timely manner.
• To identify and resolve any minor paperwork or data anomalies with the appropriate individual/operational unit.
• Responsible for reviewing and correcting ineligible data.
• Work with operational units to identify any opportunities with leavers in order to maximise their contractual and Learning Outcomes.
• Coordinating and liaising with the relevant individuals and maintaining positive working relationships with colleagues and operational delivery units
• To work with other colleagues and operational delivery unit/s continuously improve paperwork quality and compliance.
• To be responsible for the quality and compliance of all start and leaver documents, CHOCs documents and Progress reviews, audited both internally and externally.
• Responsible for sharing the appropriate information with the e learning platform.
• To work closely with CTC staff developing knowledge and understanding alongside early intervention that prevent the smooth processing of learner data.
• Supporting training officers and sub-contractors with digital on-boarding system, queries and issues
• Maintain a good knowledge and understanding of all systems used by CTC
• Complete data/document filing and archiving if required.
• Assist in the development of new members of staff into the administration department as and when required
• Complete general administration duties to support the administration department as and when required such as answering incoming calls, taking messages, redirecting calls, welcoming visitors and ordering stationary.
• Provide cover for any absence as and when required as caseload dictates
• Any other duties requested by the Data Governance and Compliance HBU.
