Summary
We are looking for a motivated and enthusiastic Team Secretary to join the Community Mental Health Team based at Stewart Lodge, Yeatman Hospital in Sherborne. There is a part-time posts of 15 hours per week available, covering a wide range of secretarial and administrative duties.
The post holder will need to have developed IT skills, a working knowledge of Microsoft Office and demonstrable experience of working in an office environment. You will be will be responsible for providing secretarial and administrative support. We are a busy team, and the post holder will be responsible for managing the day-to-day office-based tasks, following processes and procedures including handling phone calls, processing referrals to our systems, booking/arranging appointments for the clinicians, dealing with enquiries for the team and audio/copy typing of letters and minutes.
We work with vulnerable people so a compassionate telephone manner is essential. Previous NHS experience and experience of using the Rio patient records system will be an advantage. Being adaptive and flexible to the needs of the service and our client group is essential.

To provide secretarial cover for clinical team members which includes consultants
To ensure patient records are kept up to date on the Trust electronic record system RIO
To arrange appointments and meetings and ensure all parties have the relevant information
To liaise with relevant staff from health, social services and other agencies as required
To carry out audio typing
Minute take as required including multi-disciplinary meetings, business meetings, plus occasionally MARM and Best interest meetings
To produce reports for business meetings/multi-disciplinary meetings as required
To ensure information is appropriately and securely stored, filed and easily retrievable.
To obtain information from other agencies and departments within the Trust as required
To promote, adapt and share good practice between the administration team and other agencies
To provide secretarial cover for other clinical staff and other administration departments, if required, to ensure the smooth running of the service
To support all staff in ensuring that Integrated Care Programme Approach processes are adhered to. Have a good understanding of the CPA processes and forms.
To participate in flexible working within the Mental Health Services ensuring adequate secretarial cover is provided as necessary.
