Summary
We are seeking a highly organized and proactive Assistant Project Manager or Project Management Coordinator to work closely with the Program Manager. This role is designed as a shadow position, meaning you will handle emails, chats, project coordination, and administrative tasks to keep projects on track.
Your focus will be on managing day-to-day project activities, maintaining communication with stakeholders, and ensuring seamless execution of business operations.
Project Coordination & Management:
Assist in the planning, execution, and monitoring of multiple IT and business projects.
Create, update, and maintain project plans, Gantt charts, and status reports.
Track project milestones, deliverables, and deadlines to ensure timely execution.
Coordinate with cross-functional teams and follow up on assigned tasks.
Maintain project documentation and risk registers.
Communication & Stakeholder Management:
Act as the first point of contact for emails, messages, and meeting requests on behalf of the program manager.
Draft responses, escalate critical messages, and manage professional communication with stakeholders.
Take meeting minutes, summarize key actions, and follow up on deliverables.
Maintain professional correspondence with clients, vendors, and internal teams.
Administrative & Support Tasks:
Manage schedules, book meetings, and organize calendars.
Prepare reports, presentations, and documentation for senior leadership.
Assist in tender submissions, proposal writing, and contract documentation.
Research industry trends and provide insights to support business decisions.
Required Skills & Experience:
1-3 years of experience in project management, business administration, or IT operations.
Strong written and verbal communication skills (email drafting, report writing, etc.).
Proficiency in Microsoft 365 (Excel, Word, PowerPoint, Teams), Jira, Monday.com, or similar PM tools.
Experience working with DevOps, D365, cloud services, or IT projects (preferred but not mandatory).
Ability to multitask and work in a fast-paced environment.
Preferred Qualifications:
PRINCE2 Foundation, PMP, or Agile certifications (a plus but not required).
Familiarity with IT project management methodologies (Agile, Scrum, Waterfall).
Prior experience in a tech, consulting, or IT services company.
