We're hiring a Facilities Coordinator to join our amazing team here Omni Group

Employing over 4,000 people, Omni provides Housekeeping, Recruitment, Property and Software Services to major hotel groups including InterContinental Hotels Group (IHG), Hilton, Marriott, Redefine BDL Hotels, Raffles, Shangri-La, Ritz-Carlton and Resorts World.
We are currently looking for enthusiastic and self-motivated candidates for the position of Facilities Coordinator to be responsible for ensuring that all team members are adequately trained in the department to the standard required.

Shift Pattern:
Up to 37.5 hours a week, Monday to Friday
MAIN DUTIES
- Raising Purchase Orders for all reactive maintenance calls.
- Updating Special Register with PO and Invoicing Information.
- Liaising with contractors for reactive and planned maintenance.
- Updating commercial with all RAMS, Service Reports, and Comments for reactive and planned maintenance.
- Managing contractors, requesting RAMMS, and COSH, ensuring this is received before work takes place.
- Monitoring Site Maintenance Officer ensuring permit to work, and rams are completed by contractors and signed.
- Placing chemical and consumable orders for the site and managing stock to ensure it is not over-ordered.
- Liaising with clients/staff houses to arrange all reactive maintenance or planned maintenance requests.
- Liaising with clients to obtain PO’s for invoicing purposes before works taking place.
- Monitoring commercial to ensure all PPM is carried out promptly and we don’t fall behind on works.
- Updating commercial with any new tasks or jobs.
- Obtaining quotations from various contractors to ensure competitive pricing for Omni & Client.
- Working with H&S to ensure contractor documentation is all up to date.
- Liaising with staff houses for all areas of access, contractors, maintenance, move-outs and more.
PREVIOUS REQUIRED EXPERIENCE:
- Desirable to have previous Facilities Industry experience.
- Previous experience in dealing with administrative tasks.
ESSENTIAL SKILLS:
- Excellent interpersonal and communication skills and the ability to work effectively with people at different levels.
- Excellent written and verbal communication skills
- Proficient in the use of Microsoft office packages including Word, Excel and Outlook
- Word processing and/or data entry skills
- Ability to work effectively under pressure
- Excellent organisation skills
- Knowledge of office management principles and procedures
- Flexible with a willingness to learn.
