Summary

Administrator – Financial Services | Linlithgow, West Lothian | 40 hours per week-9am-5:30pm; all working hours are office based | £24,000 - £28,000 per year

Our client has been serving West Lothian and beyond since 1996. As financial advisers, they provide specialist financial planning, pensions, and wealth management advice to a wide range of clients, private and corporate, whether just starting out or closing in on retirement.

In this role, you will provide administrative support to the Practice, Paraplanners and Advisers to ensure the efficient processing of business, effective management of day-to-day tasks and that clients receive a high level of service when contacting the practice.

Your role will include, but won’t be limited to

• Direct Mail to the relevant Case Handler
• Maintain literature stock within the office
• Ensuring all documentation is relevant and kept up to date
• Maintaining Client files both in paper format and electronically, updating as and when necessary
• Maintain client files in line with GDPR
• Prepare prospect / existing client files for face-to-face meetings
• Ensure paperwork is partially completed and marked up clearly
• Keep in regular contact with providers regarding transfer process
• Keep in contact with client and adviser to update on progress of transfer
• Ensure 2 hours of CPD is completed each month and log on your personal development file
• Understand and adhere to the practice and Openwork’s systems and regulatory requirements and, where appropriate, comply with all relevant regulatory policies. This includes completion of any mandatory training requirements
• Submitting new business to the product providers

The Interview Process

There will be a minimum of two interviews. The first interview may be conducted remotely via Teams. There will be at least one face to face interview at our office in Linlithgow. There will also be a requirement for the completion of two online tests, for literacy and numeracy, plus a personality profile.
