The post holder will be a front-line member of a team providing administrative support to the CAMHS senior leadership team, Operational Managers and the CAMHS Personal Assistant (PA).
They will provide an efficient and effective administrative support service with excellent communication skills. They will present in a professional manner, be tactful and diplomatic, exercising excellent communication skills to uphold the positive image of the team, and of Pennine Care NHS Foundation Trust.
The post holder will support and work with embedded systems and processes ensuring an efficient service and will be confident and adept at problem solving techniques with some level of appropriate decision-making skills. The role will involve liaison with internal Pennine Care staff, external stakeholders and on some occasions service users and their families

Oversee the day to day running of the office, working as a team.
• Prioritise own workload, working with minimum supervision.
• Production of confidential and sensitive documentation / computer inputting /letters / memos
• Responsible for safe use of office equipment, including computers - responsible for reporting office equipment faults
• Provide an efficient admin support service on behalf of the CAMHS care hub.
• To maintain and support the managers annual leave process: using the ESR system, sickness recording and annual leave recording on behalf of our Operational Managers. And responding to annual leave requests, ensuring a timely response, and ensuring adequate management cover is in place via the care hub managers annual leave calendar.
• To monitor the CAMHS Care hub’s MYC compliance rates by using the Tableau reporting system and supporting the CAMHS operational managers/supervisors in identifying non – compliance and will also be responsible for the timely inputting and recording of all CAMHS Care Hub MYCs onto the ESR system.
• To monitor the CAMHS Care hub’s CEST compliance rates by using the Tableau reporting system and supporting the CAMHS operational managers/supervisors in identifying non – compliance.
• Produce a monthly CEST and MYC update using info from Tableau which briefs the CAMHS care hub senior leadership team on areas of non-compliance
• To maintain administration systems in relation to bank staff - booking shifts on to the health Roster and processing of timesheets in a timely manner; acting as a point of contact for any shift queries or swaps where applicable.
• To maintain administration systems in relation to PO Box returns; liaising with services in relation to any returned post and ensuring relevant actions are recorded on PARIS; ensuring that any IG breaches in relation to all returned post are reported to the Quality team to identify if an incident report needs to be actioned.
• To maintain and update our internal CAMHS distribution lists ensuring timely distribution of information across the CAMHS care hub.
• To be able to manage diaries and coordinate meetings for the senior leadership team as required or in the absence of the CAMHS PA.
• To be able to use our Electronic Patient Record (PARIS) to enable data quality support as required by Business Operational Manager.
• Stock / non-stock ordering (procurement) which includes booking in, and distribution of all stock, Updating computer inventories (office equipment), coding of invoices for payment.
• Booking meetings and venues
• Attend meetings (in absence of PA), take minutes as required, type and distribute.
