Summary


We are seeking to appoint a person with a great work ethic who possesses excellent interpersonal & communication skills to the role of a Band 3 Operational Support Admin position

Apprenticeships are designed to give talented people an opportunity to gain a nationally recognized qualification while completing on the job training. You will be supported to learn and develop the knowledge, skills and behaviours you need to perform in the job role. You will also have study time allocated within your working hours to gain your qualification.

For this role you will undertake a 22-month development programme as a Business Administrator within the 0-19 Admin Services , through work-based learning and by attending regular training sessions. Successfully completing the training programme and qualification will lead to an Advanced Apprenticeship Level 3.

This position is offered on a fixed term contract with the opportunity to become permanent once the qualification is successfully completed and achieved.

Please noteApprenticeships do require candidates to be resident in the UK for at least 3 years at the start of their apprenticeship. Please be advised if you already hold a relevant qualification in this subject area ( Improvement) at this level or higher you are not eligible to apply for this role.To provide a high quality administrative, clerical service for clients and their carers who access the services in the community division.

Duties and responsibilities

To operate a desktop PC/Lap top

To manage a comprehensive administrative service to the department

To be responsible for the provision of administrative support as required by the operational support Manager/Team Supervisor

To receive telephone calls and emails from outside agencies, deal with them if possible or refer them on as appropriate.

Provide statistics and reports as and when required.

Ensure compliance with local policies and maintain accurate records

Deal with correspondence on behalf of the OSM as necessary

To be familiar and able to use RIO (training will be made available as necessary)

Screen messages, telephone calls and emails, instigate appropriate action or ensure that accurate messages are passed on and progress followed up if necessary. Deal with enquiries in a sympathetic and empathetic manner and if possible refer on if appropriate.

Work independently using own initiative with minimum direct supervision

To undertake on-going personal development through participation in appraisal and supervision.

Co-ordinate and send out documents, contracts and / or reports on request.

To attend meetings as requested by clinical leads

To have a working knowledge of the Data Protection Act and its requirements, in respect to confidentiality for both patients and staff ensuring any computerised system is maintained as requested.

Deal with issues that arise appropriately, including enquiries, complaints from members of the public and patients, and where appropriate refer on, ensuring that no issue is inappropriately delayed in being actioned because of the absence of the management team

Ensure good working relationships with all staff, the organisation and outside agencies.

To plan and co-ordinate your workload to ensure all deadlines are met and objectives achieved.

To undertake additional duties where appropriate as requested by the service.
