Summary



Job Overview

-The Soft Services Manager will oversee the cleaning operations including general cleaning and GxP cleaning utilising data driven systems to support the drive for continuous improvement.

-You will be responsible for ensuring the highest standards of cleanliness and hygiene across the site facilities.

-Proficient in managing cleaning systems, specifically Merlin our data led cleaning tool and the ability to interrogate data to optimise operations is essential.

-Working with the client, on strategic innovations to continually make savings, improvements to safety processes and ensure quality standards are at world class level and fit for regulatory inspections.

-Implement a positive and proactive health, safety and wellbeing culture within the team.

-To build a strong working relationship with both internal and external customers including sub-contractors to ensure that all services are delivered in a professional, timely and cost-effective manner.

-To fully understand our clients' expectations and be fully conversant with contract & specification documents, associated KPI's and ensure that services are organised to meet those expectations.

-There would be a requirement to have a broad overview of business-critical areas.

-Deputise in the Facility Managers absence.

-Management of 3rd party suppliers.



Main Duties

-To proactively demonstrate and work to the Company's vision of being ‘The Exceptional, Every Day'

-Manage and co-ordinate MITIE's activities within the contract whilst ensuring the site team and all sub-contractors are managed and service levels are met in line with the contractual CI's, KPI's and PI's

-Support the organisation & management of Mitie related goods, materials and consumables stock and support the ordering process.

-To analyse delivery performance and develop on-going contribution to the contract, controlling and minimising operational, financial and commercial risk.

-To drive the development of a professional and effective operational team, ensuring objectives are set, monitored and achieved and that all employees are appraised and have a personal development plan.

-In collaboration with the Site Lead develop a succession plan for all key roles within your team.

-To build positive and productive working relationships with the client, delivering excellent customer service and seeking ways to continuously improve and surpass expectations.

-Ensure that all contractual CI's, KPI's & PI's are continually met for the contract and that working towards achieving success is embedded across the teams.

-To provide management information/reporting as required.

-To monitor and control supplier, sub-contractor and labour costs to ensure transparency & accuracy is achieved

-Lead by example with regards to health and safety, compliance with statutory and contractual legislative requirements

-To understand and complete all work-related documentation accurately and on time

-To understand and comply with Mitie & our client's policies and procedures.

-To carry out work in a safe and diligent manner

-To attend and fully participate in training and appraisal activities as required

-Ensure HSE/Team briefings and Tool Box Talks are delivered to direct reports as required.

-Understand and implement the site escalation and Business Continuity procedures appropriately.

-Participate in site audits as per communicated schedule.

-Well-practised in Data Integrity standards and good documentation practice.

-HR experience is essential. Line managers responsibilities will include sick/absence, performance management including quarterly MiReviews, recruitment and retention and colleague engagement.



Operational Management:

-Oversee daily cleaning operations to ensure all areas meet high cleanliness and hygiene standards.

-Manage and lead cleaning colleagues, including recruitment, training and performance management.

-Ensure compliance with health and safety regulations and company policies.

-Communicate with the line Manager / client in a timely manner as required

-Respond in a timely manner to verbal and written requests.

-Adopt a proactive approach to all aspects of service delivery.

-Support, develop and communicate best working practice.

-Where applicable, provide accurate reports in a timely manner



Data-Driven Decision Making:

-Utilise data from various sources, including the Merlin system, to monitor and analyse cleaning performance.

-Identify trends and areas for improvement based on data insights.

-Implement data-led strategies to enhance cleaning efficiency and effectiveness.







What we are looking for

-Previous experience in a managerial role within cleaning or facilities management industry is essential.

-Strong data analysis skills and experience using data to drive operational improvements.

-Proficiency in managing cleaning systems.

-Excellent communication and interpersonal skills.

-Strong organizational and multitasking abilities.

-Can demonstrate knowledge and understanding of Health, Safety, Environment and Quality systems and the management of safe systems of work associated with the role and work environment.

-Ability to lead and motivate a team towards achieving high standards.

-Experience with other cleaning management systems.

-Demonstrated success in implementing continuous improvement initiatives.

-Able to represent MITIE professionally at both internal and external meetings.

-Able to undertake budget setting and demonstrate appropriate financial management.

-Seeks out and takes opportunities to learn new skills as part of personal professional development.

-Experience in (CMMS Computerised Maintenance Management Systems) such as MERPS & SAP is essential.

-Strong knowledge of Health & Safety supported by IOSHH qualification.

-Exceptional customer service and communication skills.

-Organised and methodical with the ability to multi-task.

-Strong general IT skills essential (Microsoft word, excel, PowerPoint, Outlook etc).
