About Us

We’re a small, dynamic architecture studio specialising in sensitive regeneration, housing, and public realm design. Our team is passionate about creating meaningful spaces, and we’re looking for an enthusiastic Office Assistant to help us keep things running smoothly behind the scenes.

The Role

As an Office Assistant, you’ll play a vital role in supporting the day-to-day operations of our studio. This is an opportunity to join a close-knit, collaborative team and contribute to projects that make a real impact.

Key Responsibilities

• Administrative Support

o Answer phone calls and emails, directing enquiries as needed.
o Schedule meetings, manage calendars, and book travel arrangements.
o Maintain and organise office files, records, and correspondence.

• Studio Coordination

o Keep the studio tidy and organised, ensuring supplies are stocked.
o Coordinate with suppliers, contractors, and service providers.
o Assist with preparing documents, presentations, and reports for client meetings.

• Project Assistance

o Support the team with document formatting, printing, and filing.
o Help manage submissions for tenders and project deadlines.
o Liaise with collaborators, councils, and consultants as required.
o Minute taking at meetings

• Finance and HR Tasks

o Process invoices, expense claims, and receipts.
o Track project budgets and ensure deadlines are met.
o Assist with onboarding new team members and maintaining HR records.
o Management of timesheets and resource reporting.

• Communications and Marketing

o Assist with maintaining the studio’s website and social media presence.
o Coordinate events and networking opportunities.
o Help develop marketing materials and outreach campaigns.

About You

We’re looking for someone who is:

• Organised, proactive, and detail-oriented.
• A strong communicator, both written and verbal.
• Comfortable with office software (Microsoft Office, Google Workspace).
• Interested in architecture and design (experience in a similar environment is a plus).
• A problem solver with a friendly, can-do attitude.
