We have an exciting opportunity for an experienced secretary or administrator to provide a professional, confidential and comprehensive administration support to the Lymphoedema team at Teesside Hospice.
You will have excellent organisational skills, strong attention to detail and great time management skills. With a professional attitude, you will have previous experience working within a sensitive environment.
We are seeking someone with strong IT skills in MS Office supported by an appropriate administration qualification and a sound understanding of data protection and confidentiality. A working knowledge of patient database software and an understanding of Minimum Data Sets (MDS) would be an advantage.
You will also be involved in:
• Communicating professionally with patients by letter, email, phone and face to face, always ensuring the highest levels of patient care and accuracy are maintained.
• Dealing with referrals from GPs, Consultants and other health care professionals.
• Maintaining appointments and managing team diaries, working closely with the Lymphoedema nurses.
• Producing reports using a range of data.
• Assisting the Clinical Lead to ensure Lymphoedema Team meetings and education groups are organised and documented effectively.
• Ordering and maintaining stock for patient treatments.
• Ensuring the service is effective and by sending out patient satisfaction surveys and collating the results.
As the ideal candidate you will have:
• Business Administration NVQ Level 2 qualification
• Experience of working in a secretarial or administration role (min of 2 years)
• Experience of working with data management systems
• Advanced Microsoft Office skills required in Word and Excel (with the ability to manipulate and provide detailed data for reports).
• Confident written and verbal communication skills
• An ability to manage your own workload and work efficiently to meet demanding timelines.
• An ability to deal with multiple projects/tasks simultaneously
• Effective listening skills and able to and understand the priorities and needs of the department
• A can-do attitude and be flexible in your approach to tasks
