Summary
Property Maintenance Administrator

Monday to Friday 8am – 4.30pm Monday to Friday
We are working with an organisation that has a large portfolio of properties based around the Shropshire area that is looking for an administrator / coordinator to support with a range of facilities / property maintenance queries and issues. You will receive a flow of queries or issues that have been raised about their properties, and these will need to be checked and authorised for repair, before arranging a tradesperson to attend and fix the issues.
Responsibilities and duties will include, but not limited to:
• Taking a flow of calls and emails from tenants in rental properties where they might be raising queries or issues with their properties that need to be addressed
• Ensuring all information about the issue is understood and recorded accurately, and ensuring that urgent issues are dealt with immediately
• Investigating the issue to see what work is required.
• Gaining approval for repairs from management.
• Updating CRM system with all data so you can see what repairs have been completed and when, and the costs and authorisation information.
• Liaising with tradespeople to book in work to be done and booking in the diary with tenants so they know when to expect the issue to be rectified.
• Collating invoicing and passing to management for approval and raising payments.
• Seeing the query from initial call through to resolution.
Skills and Experience
• Has experience of working in a property maintenance or facilities maintenance role
• Extremely well organised to ensure all tasks are completed and resolved.
• Excellent customer service skills to ensure people who are complaining are handled with care and respect.
• Strong administrative skills
• A calming and professional nature that can build rapport with people at all levels.
