Summary


The Governance Secretariat Officer will play a vital role in the efficient operation of the Federated Data Platform by supporting governance meetings, creating briefing packs, taking minutes, and ensuring follow-up on action points. This role is crucial in maintaining high standards of governance and communication within the programme.
• Hybrid role with flexibility for home working, alongside monthlyvisits to the NHSE office in Waterloo London
• Band 6, ranging from £37,338 to £44,962, dependent on experience and the number of years you have worked within the NHS
• Contract: Full-time, permanent position (37.5 hours per week).
• Forward planning and preparation for all governance meetings, including creating briefing packs and chair briefings.
• Take accurate minutes of meetings and distribute actions to relevant stakeholders.
• Follow up on action points between meetings to ensure progress and completion.
• Maintain Terms of Reference (ToR) for groups and manage associated documentation.
• Collaborate with internal and external stakeholders to support governance and decision-making processes

The role is within NHS England’s Data and Analytics Directorate, which is driving transformation to improve the use of data in health and care. You’ll be working with the Federated Data Platform, a system designed to integrate data across Trusts and Integrated Care Boards to improve patient care and operational efficiency. The FDP connects systems that don’t usually communicate, enhancing care coordination and data-driven decision-making.

The Governance Secretariat Officer will:
• Plan and prepare for governance meetings, creating detailed briefing packs and chair briefings.
• Accurately minute meetings and distribute actions to the relevant stakeholders.
• Monitor action logs and ensure follow-up to track progress and completion of key tasks.
• Maintain the Terms of Reference for key governance groups, ensuring all documentation is up-to-date.
• Work closely with internal and external stakeholders to support effective governance and decision-making processes.

Essential Skills & Experience:
• Strong organisational skills, with experience in minute-taking and managing action logs.
• Proven ability to manage multiple tasks and priorities in a fast-paced environment.
• Excellent communication skills, with the ability to engage with diverse stakeholders.
• Experience in supporting governance or secretariat functions in a complex setting.
• Knowledge of project management tools and techniques.

Desirable Experience:
• Experience in a healthcare or public sector environment, ideally within the NHS.
• Familiarity with governance practices and processes in the public sector.

Qualifications:
• Educated to degree level in a relevant subject or with equivalent experience.
• Additional training or qualifications in governance or project management are desirable.
