Personal Assistant – Role Overview

This is a unique and exciting opportunity for several proactive individuals to join the VOA Private Office on a permanent basis, as Personal Assistant/Diary Managers to Directors within the VOA.

This role is crucial, providing a wide range of direct support to the VOA Senior Leaders. Fundamental to all Private Office roles is making the best possible use of the Directors time and supporting them to operate at their best. The Private Office is an exciting and fast-paced environment where no two days are ever the same, you develop and draw on a range of skills, which makes working in a Private Office rewarding and stretching.

As your key stakeholders will be geographically dispersed you will be able to work independently as well as using technology to communicate across multiple locations.

There may be a need to travel across the UK with occasional overnight stays being required.

Personal Assistant – Key responsibilities

Duties will be varied but key responsibilities for this role include;

  • Developing a good understanding of the Director’s priorities, business area and the business needs and expectations, to ensure effective support.
  • Management of the Director’s diary, ensuring that time management is optimised.
  • Managing prioritisation of meetings, which will sometimes involve the scheduling and booking of travel arrangements.
  • Inbox and workflow management for the Director – you’ll be proactively planning and making decisions on prioritisation of the workload and workflow, ensuring deadlines are met.
  • On occasions acting as the first point of contact for the Director.
  • Supporting the Director at meetings by note taking or planning agendas and papers, providing accurate read-outs, and ensuring any assigned actions are dealt with.
  • Ensuring the Director is fully prepared and briefed for meetings, ensuring all papers are clear, relevant, accurate and complete.
