Job Purpose:
The Occupational Health (OH) Administrator/Assistant is a vital part of the OH Team, ensuring compliance with statutory obligations and company standards. The role involves supporting the daily administration requirements of an operating nuclear plant, assisting with the implementation of suitable systems for external accreditation, and managing various administrative tasks within the Occupational Health department.


Key Responsibilities and Outcomes:

  • Reception and Appointment Management:
    • Manage the Occupational Health Reception activities, including handling initial enquiries, answering phone calls, and booking appointments for the Occupational Health Physician (OHP), Occupational Health Advisor (OHA), Physiotherapist, and first aid.
    • Record appointments on the computer diary and manage the system efficiently.
  • Document Management:
    • Maintain accurate records using eOPAS, including scanning health surveillance, physiotherapy, and drug & alcohol test results.
    • Prepare clinic materials for appointed doctors, ensuring MR1 and MR2 records are accurately compiled and sent to Dosimetry for the CDRS.
  • Health and Safety Support:
    • Organize health promotion information and liaise with external organizations when needed or as directed.
    • Assist in monitoring compliance with statutory health and safety requirements and collate relevant data, including monthly KPIs for audits.
  • Inventory and Equipment Management:
    • Maintain appropriate levels of medical stock and provide supplies to First Aiders at the RCA Medical Centre and on-site First Aid Kits.
    • Arrange calibration and maintenance of medical equipment, including breathalyzers, spirometry, audiology machines, drug fridges, blood pressure monitors, and stretchers.
    • Ensure all electrical equipment in the OH department is PAT tested in line with legislation.
  • Additional Administrative Support:
    • Support the department with small purchasing tasks.
    • Prepare communication displays, meeting packs, minutes, and training invitations.
    • Develop and print presentation packs and other materials as required.
    • Oversee computer-based desktop training and update training materials.
    • Support collection officers during drug and alcohol screening.
  • Other Duties:
    • Support employees in obtaining prescription safety glasses following local guidelines.
    • Work confidentially and professionally, ensuring the privacy and dignity of all service users.


Knowledge, Skills, Qualifications, and Experience:
Essential Skills:

  • Proficiency in Microsoft Office programs, including Outlook, Word, PowerPoint, and Excel.
  • Excellent communication skills, both verbal and written.

Qualifications:
