Summary

To assist the Service Manager and Operations Manager with achieving and sustaining key performance targets. To provide practical support and advice in addressing day to day issues and problems within the directorate. To line manage members of the administration teams they work with, providing them with strong and clear leadership to ensure they are working effectively, efficiently and productively. To work in conjunction with the directorate bookings and administrative teams.To provide a comprehensive service to the Consultants and their team, ensuring Trust standards are adhered to in relation to all documentation and data entry concerning patient appointments and treatment. To assist the management team in meeting local and national targets, having specific responsibility for delegated areas. To assist with monitoring demand and capacity for the directorate To utilise patient targeting list (PTL) to monitor patient pathways and take action as appropriate. To provide PTL advice and guidance as required. To liaise with the Manpower Co-Ordinator to ensure relevant departments are informed of Consultant/Junior Staff absence and other leave, to ensure clinical commitments are cancelled. To liaise with the other administrative leads (i.e. elective and outpatient bookings) to ensure full utilisation of clinical sessions, i.e. outpatient clinics, theatre sessions Ensure all data entry is entered promptly and accurately on Epic. Liaise with consultants regarding any staffing or operational issues. To develop and maintain standard operating procedures (SOPs) in liaison with other directorates to ensure consistency in process across the Trust. To manage the performance of processes which will ensure early identification of outpatient and inpatient capacity issues for negotiation and discussion with service managers and clinicians. To agree action plans in line with service managers to constantly maintain the delivery of the Trusts performance targets using daily generated reports within the team. To review procedures within the Directorates, which affect patient access, identify and implement changes in order to improve efficiency and effectiveness for patients. To work closely with members of the clinical and non-clinical teams across the Trust in developing and refining policies and procedures to ensure seamless management of patients across all departments. To ensure that the team maintains a professional and positive approach at all times. Assist in major incident planning Ensure all staff are trained in major incident Facilitate regular staff meetings Respond to the evolving needs to our community and local health economy for example Booking in patients with limited English Implement any changes following complaints Ensure all administrative staff trained in the use of Datrix Adhere to department health and safety risk assessments Responsible for the smart card use in the Emergency Department and act as a smart card agent for the national spine Responsible for the accurate data input which trust targets/emergency quality care indicators are measured against including the four hour target and seven day re-attendance To assist in meeting 4 hour target and management of breaches in the department To manage the patient admin flow co-ordinator working alongside the emergency department consultant To ensure the friends and family test target is adhered to Responsible for the risk assessment in the reception area Maintain the waiting rooms and its facilities Maintain the information screens in the waiting rooms and keep information up to date and accurate To have a working knowledge of the safeguarding children guidelines, and also the hospital child protection procedures To promote good working relationships with the ambulance service, police and other supporting agencies
