Responsibilities
• Primary point of contact for all general enquiries, requests for information, works orders or quotations.
• Processing and uploading work orders to the CAFM system. Ensuring actioned in a timely manner and all information recorded is accurate.
• Processing and uploading quotation requests to the CAFM system. Ensuring actions in timely manner and all information recorded is accurate.
• Maintaining and updating the CAFM System. Ensuring all primary contact details are correct and being proactive with any changes.
• Management of the Info@airwavesfm.co.uk mailbox. Responding to and filing emails efficiently. Flagging urgent requests and directing emails to the correct correspondence. Acknowledgement made to all emails.
• Answering phone calls from clients and key stakeholders. Making note of any messages and ensuring information is recorded accurately. Speaking with residents and booking in works.
• Sending daily job cards to the client, ensuring the information on the job cards is well detailed and an accurate reflection of the works carried out.
• Complaint Handling and investigation; Ensuring the complaints policy and procedure is adhered to.
• Supporting the operations team with the deployment of jobs to operatives.
· Supporting with day-to-day office administrative tasks, scanning, photocopying, printing and filing of documents.

Knowledge and Skills

· Facilities Management background desired but not required.

· Proven experience in a professional customer services environment.

· Excellent verbal communication skills and good telephone manner.

· IT literate with use of Microsoft Office Systems and CAFM systems.

· Accuracy & Precision in all written communication.

· Excellent administration and time management skills.

· Ability to work well under pressure.

· Great attention to detail.

· Professional in approach at all times.

Your working hours will be between 0800 – 17:00 Monday – Friday including bank holidays (office based with potential hybrid working). Overtime available upon request.

Salary Range: 25,000 Per Annum dependant on experience and successful passing of probation.
