Summary

CIS Security have an exciting opportunity available for a Security Service Administrator for an impressive office-led development in the City of London. We are looking for someone who will ensure all key administrative functions are undertaken accurately and in a timely fashion and provide administrative support to the Security Operations Managers and Customer as directed within the second-largest professional services network in the world and is one of the Big Four accounting firms
This role requires a proactive individual with a keen eye for detail and the ability to manage multiple tasks efficiently. The ideal candidate will have excellent communication skills and the ability to work collaboratively across teams to achieve security objectives.

Position:Security Service Administrator
Location: Central London
Salary: £30,000 - £35,000 per annum (depending on experience)
Hours: 45 hours per week
Shifts: Monday to Friday – 0800 to 1700 (flexibility included)

Job Requirements:

Current Administration experience is required
Have a clear understanding and demonstrate excellent customer service skills
Advanced Microsoft Office Skills, including PowerPoint, Excel, Word and Outlook
Strong Organisational Skills - Ability to manage multiple tasks and projects simultaneously with a keen attention to detail to ensure all documentation and processes are maintained accurately.
Effective Communication - Strong verbal and written communication skills for liaising with various teams and stakeholders with the ability to clearly and concisely take notes and prepare reports.
Proactive Attitude - Initiative to identify issues and areas for improvement and propose solutions and willingness to take on additional responsibilities as needed.
Team Collaboration - Ability to work well within a team and support team-building activities and having the willingness to collaborate with different departments and external stakeholders.
Technical Proficiency - Basic understanding of IT systems and ability to manage shared drives and access controls. Having the competence in using office software (e.g. MS Office, Google Workspace) for scheduling, documentation, and reporting.
Adaptability and Flexibility - Thoroughness in conducting audits and ensuring compliance with policies and procedures. Whilst having the ability to adapt to changing priorities and handle unexpected tasks.
Attention to Detail - Accuracy in tracking financial data, preparing reports, and maintaining records.
Customer Service Orientation - Professional demeanour in handling queries from the Customer, CIS Head Office, and other stakeholders. Whilst showing the commitment to providing high-quality support and ensuring stakeholder satisfaction.
Time Management - Efficient management of time to meet deadlines and ensure timely completion of tasks, having the ability to prioritise tasks based on urgency and importance.

These attributes will help ensure that the Security Service Administrator can effectively support the security team and contribute to the overall success of the projects and initiatives within the organisation.
Job Responsibilities:
Administrative Support:

Provide administrative support for the Client and CIS Security, including scheduling meetings, arranging rooms, and booking travel and accommodation.
Record minutes in various meetings and circulate them appropriately.
Support the Key Account Director and Security Operations Managers with preparing reports, updates, and presentations for stakeholders.
Manage access to Security shared drives, documents, and team email groups.
Ensure shared areas are well-maintained and effectively organised.
Flag issues and provide remedial training as necessary.
Develop and support technology/data products and processes, including identifying opportunities for automation and process improvements
Review security systems information to ensure compliance with policies and procedures.
Perform audits and inspections of physical security infrastructure and practices.
Maintain detailed records of security assessments, compliance audits, and Planned Preventive Maintenance (PPMs).
Identify areas for improvement in physical security measures and policies, working with relevant teams to implement enhancements.

Site-Based Responsibilities:

Act as the point of contact for CIS Head Office on matters such as payroll queries, absence, and annual leave.
Assist in producing and supplying understaffing and additional hours reports for invoicing.
Support the management of absence, sickness, and lateness, ensuring proper documentation is obtained and shared.

Documentation and Compliance:

Assist in auditing and reviewing Standard Operating Procedures (SOPs), process workflows, and technical and procedural documentation.
Conduct regular compliance audits to ensure proper maintenance of shared drives and logs.
Maintain and update platforms (such as Google sites) and disseminate Security communications, including the preparation of Security function newsletters and similar comms.

Financial Support:

Track and forecast contract spend.
Prepare and report on contract finances.

Training and Development:

Curate and maintain training and informational content for Security teams.
Oversee contract training schedules and records.
Coordinate training initiatives and security awareness campaigns alongside the management leads for these areas.

Team Support:

Facilitate team-building activities and regular team gatherings.
Support the onboarding of new Security team members, ensuring all IT systems, shared drive access, and training portals are set up.
Maintain and update org charts and distribution lists.

General Duties:

Carry out reasonable requests from the Client and CIS Management team, including support during emergency situations.
Assist with duty rosters and schedules, providing centralised reporting, managing overtime distribution, and forecasting staffing needs.
Carry out any other reasonable requests as required by CIS-Security and/or the customer.
