Summary

Key Tasks
The post holder is responsible for working as part of a team to support the business, quality and governance of Cartrefi Cymru Co-operative.

General
In performing the above duties, the postholder will:


Seek to improve his/her own performance and personal development
Keep up to date with developments in subjects relevant to his/her tasks
Seek to improve knowledge and skills
Contribute to the development and implementation of Cartrefi Cymru’s policies and procedures
Adhere to all applicable legislation, especially with regard to data access and security under GDPR and Data Protection Act
The postholder is expected to carry out any ad hoc duties as required which are commensurate with the grade of the post.


Governance


To provide a pro-active and responsive support service to the CEO and Senior Management Team in support of her/his responsibilities for the overall management of the company and liaison with external contacts.



To ensure the smooth and efficient running of the Assistant Directors’ area of responsibility and its associated activities:


Internal and external liaison on behalf of the ADs in their roles as Responsible Individual.
Undertake a range of tasks which the AD/RI may delegate, or which may need to be actioned on the post-holder’s initiative in absence of the AD/RI
Administer meetings, including booking of venues, circulate minutes and papers, prepare agendas and attend and minute meetings as required


Business and Quality Responsibilities


Working as part of the Quality and Governance Team to provide a pro-active and responsive service to the Directors and Assistant Directors in support of her/his responsibilities for quality management.
Share best practice around quality with the team, working together to influence the culture of the organisation, to engage and activate staff teams so that the highest standard of quality can be evidenced throughout the organisation.
Working alongside Assistant Directors in their roles as Responsible Individual to support managers and staff teams around quality and compliance.
Working as part of the team along with Senior Management to ensure that the company remains compliant, key performance indicators are recorded and monitored so that performance and outcomes can be measured and managed.
Working to develop Cartrefi’s data management systems and collation of contract compliance and regulatory data.
Working to research and draft new policies as appropriate for internal and external governance



Person Specification

Qualifications, knowledge and experience

NVQ level 5 in Business Administration or equivalent, or willingness to attain
previous experience of working at a senior (company or department) administrative level
Understanding of efficient administrative procedures
Tender and contract management experience
Understanding of the efficient use of information technology
An understanding of GDPR compliance, confidentiality and privacy
Experience of working in the care sector*
Understanding of regulations relating to the Health and Social Care sector*


Skills and abilities

The ability to work under pressure, maintain accuracy, attention to detail and meet deadlines
Excellent organisational skills
Preparing and maintaining accurate data and written records
Analysing variances and investigating the reasons they have arisen
Ability to assess situation, develop options and make decisions accordingly
